Job Title: Admin Secretary
Location: Lagos
Overall Purpose of Job
To provide general secretarial and administrative support for the Organization's to ensure seamless operations.
He/she is required to exercise independent judgment and discretion in completing assignments.
Working under the supervision of Organization's Secretary, he/she sorts through incoming mail and directs these to the appropriate department and personnel for necessary action and assists in coordinating various Industry-related meetings and other business meetings and appointments, assists with the production and dissemination of the meeting materials, arranges travel for Exco members.
He/she also sets up and maintains filing and other record management systems. The individual will also assist with proper and timely archiving of information for the 0rganization
Responsibilities
Projects a professional image for the organization, and as may be directed, handles visitors requirements and routine matters for the Secretariat.
Makes necessary travel arrangements for the organization's Executive committee where required through appointed Travel Agents and Airlines as appropriate.
Processes incoming and outgoing mail; handles photocopying, faxing etc.
Assists with the production of meeting materials and papers
Assists with all the organization's events and functions including Technical Sessions, Committee meetings and Board meetings.
Maintains an effective document and filing management system for the organization.
Processes purchase orders and expense claim forms for the organization as may be directed.
Compiles basic Secretarial and Administrative reports.
Schedules and coordinates meetings/events.
Performs other assigned duties as delegated by the Chairman/Vice Chairman from time to time.

Level of professionalism displayed and quality of image portrayed of the organization.
Effectiveness in managing the production and dissemination of the meeting materials.
Effectiveness of filing, archiving and document management system.
Person Specification
Good first Degree
Minimum of 3 years cognate working experience in a reputable company or structured business
