Job Title: HSE Admin Assistant

Key Responsibilities
  • Assist HSE staff with administrative duties such as filing and transferring of received information into standard reporting/approved documentation formats.
  • Follow up/track level of accomplishment of action items derived from agreed action plans between HSE and other departments.
  • Liaise with Supervisors in the various shifts to ensure that reports required by HSE are prepared in a timely manner and also review the reports for accuracy and completeness
  • Maintenance and/or modification of department data collection system.
  • Provide training to HSE staff on filing and database encoding.
  • Generate necessary statistical reports as requested.
  • Compile statistical information for HSE Manager as requested.
  • Develop and maintain department inventory system including filing and monitoring of training roster.
  • Update and process documents as needed.
  • Order office supplies and monitor inventory.
  • Update and maintain mailing lists.
  • Maintain appropriate interpersonal relationships with employees, peers, and consumers.
  • Record, document and publish meeting minutes.
  • Facilitate special event registration and execution.
  • Assist with various program operations as requested as responsibilities permit.
  • Other duties as assigned.

Requirements
Who we are looking for
  • Minimum higher national diploma in Administration, secretarial studies or any other related course
  • Demonstrate written and oral communication skills
  • Demonstrate ability to work independently and as a team
  • Minimum two years clerical or administrative experience
  • Typing skills with at least 30 WPM
  • Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint)
  • Knowledge of general office machines and telephone system
  • Ability and willingness to work cooperatively with others
  • High degree of discretion dealing with confidential information
