Job Title: Warehouse Assistant

Location:
Maiduguri, Borno

Background
  • The Global Supply Chain Department supports the organization’s work by providing reliable and scalable application development and Operations for the IRC’s offices in the US and around the world, in the aspect of procurement, assets, inventory and management of the IRC’s GSC policies
Program Background:
  • The International Rescue Committee (IRC) responds to the world’s worst humanitarian crises and helps people to survive and rebuild their lives. Founded in 1933, the IRC offers lifesaving care and life-changing assistance to refugees forced to flee from war or disaster.
  • IRC entered Nigeria in October 2012 in response to a widespread flood disaster. IRC’s emergency response team, with local partner CISCOPE (Civil Society Coalition for Poverty Eradication), implemented a project to support livelihoods and improve WASH in Kogi State from February to May 2013 to January 2014. This was followed by a 3month nutrition and food security program in the same location from October 2013 to January 2014. IRC has been supporting programming in Adamawa State since early 2014. The current project addresses malnutrition and associated health concerns among conflict-affected persons in North-Center Adamawa State. In addition, IRC is beginning a new education focused grant looking at non-traditional educational access for conflict-affected youth.
Key Tasks
  • Understand, implement and / or maintain standard IRC inventory management policies and procedures.
  • Train warehouse staff as required.
  • Manage and document the receipt, handling, storage, release and reporting of goods through the IRC warehouse(s).
  • Advise supervisor of potential inventory shortage.
  • Manage casual laborers in the warehouse.
  • Ensure the maintenance of warehouse building(s), fittings and equipment.
  • Implement and ensure clear safety procedures.
  • Implement and ensure clear loading / unloading procedures, correct stacking and turnover (FIFO) procedures.
  • Advise the Logistics Manager/ Operations Coordinator of warehouse-specific issues or improvements.
  • Maintain the Warehouse activity book recording all outgoing and incoming receipts and activities.
  • Carry out any other task assigned by the Logistics Manager.
Warehousing and Inventory:
  • Monitor security of IRC’s storage and supplies.
  • Receive completed store’s request forms and prepare the goods for issuance.
  • Ensure goods, equipment are signed for received on the request form (office expendables) or waybill (all other items).
  • Prepare weekly and monthly report for the expendables store outlining all stock movements and remaining balances.
  • On a monthly basis, work with the Logistics Manager to reconcile the Warehouse register in the Asset tracking sheet and equipment issuance forms.
  • Update the stock record cards regularly.
  • Conduct routine inventory inspection and submit report to the Logistics Manager in a timely manner.
Expected Deliverables:
  • Maintain full and accurate inventory records.
  • Undertake (documented) monthly and ad-hoc physical inventory checks.
  • Conduct documented quarterly job performance reviews of Warehouse staff, providing appropriate feedback.
  • Provide on-time, standard monthly reports to the Logistics Manager.
Job Requirements
  • Knowledge of generic warehouse management systems and forms
  • Secondary School education
  • Holder of a valid driving license
  • Physically mobile, able to lift 50kg without strain.
  • Competent in spoken and written English.
  • Good mathematical skills.
  • Competent use of PC especially spreadsheets (format / sort / filter).

Working Environment
  • The position will be based in Maiduguri, Nigeria.
  • The situation in northeast Nigeria continues to be volatile and the security phase is orange or red depending on location. This is a national position.
