Job Title: Document Controller


Job Description
Document Control is an essential function in the delivery of any successful engineering project. The document controller and associates facilitate and control the flow of information between all parties involved in the project. This ensures that the correct information is transmitted in a consistent manner to the correct project participants at all times. This also ensures that the current and accurate information is available to project participants throughout the project.
  • The receipt, checking, logging in, distribution and filing of Project Documents
  • Provide Document numbers on the request of Engineers etc
  • Create Document Master in SPF
  • Create Document Master in In-Control
  • Receive and Check the documents against the transmittal
  • Check and Download documents from Supplier/Subcontractor SharePoint sites
  • Verify in SPF that the native file and a PDF of the native file has been uploaded into SPF
  • Create Document Revisions as requested and scanned documents
  • Upload the scanned documents into SPF
  • Create internal transmittals in SPF
  • Create internal transmittals in In-Control
  • Print hardcopies of transmittal and documents for IDC
  • Receive and check comments on the documents
  • Scan the documents with comments, revise and upload into SPF
  • Create External Transmittal in SPF
  • Upload the documents into SharePoint
  • Inform by email the originator on the status of documents
  • Gather all electronic copies and place into the designated folders, and file the hard copies
  • Quality Assurance – Responsible for working within the provisions and guidelines of the Quality Assurance systems as relevant

Job Requirements

Job Specific Knowledge:
  • Previous experience in computerized and manual document control in an engineering environment is assumed.
  • Experience and understanding of the principles and practices of both Document/Records Management and Indexing and Retrieval Systems related to onshore oil/gas installations and Projects
  • Expert knowledge in document control

Industry Specific Experience:
Minimum 2 years relevant experience in computerized and manual document management, technical documentation and complex activities.
