Personal Assistant to the MD

Job Description

The personal assistant will help out the MD with whatever they need, from managing a diary to typing up reports or planning meetings. Basically, the PA will help organise the life of the MD so they'll always know where they need to be and what they're doing. We are looking to recruit a PA with who is dynamic and highly organized. The ideal candidate will be charming and confident dealing with high level individuals as well as proactively managing all aspects of the MD’s schedule. A ‘can do’ attitude, and good cultural fit are equally as critical as experience.

Duties and Responsibilities:
  • Production of correspondences and documents, as well as presentations, records, spreadsheets and databases.
  • Attending meetings, taking minutes and keeping notes.
  • Ordering and maintaining stationery and equipment supplies.
  • Sorting and distributing incoming post, and also organizing and sending outgoing post.
  • Liaising with colleagues and external contacts based on instructions.
  • Filing of documents.
  • Screening telephone calls, enquiries and requests.
  • Interfacing with visitors across all levels of seniority or importance.
  • Organising and maintaining diaries and booking appointments and meetings.
  • Dealing with incoming email, faxes and post. Often corresponding on behalf of the company.
  • Taking dictation and minutes during meetings.
  • Liaising with clients, suppliers and other staff.
  • Coordinating secretarial and admin activities.

Qualifications and Requirements:
  • 1 - 3 years experience.
  • Excellent oral and written communication skills are a must.
  • Minimum qualification is National Diploma.
  • Proficiency in Microsoft Office Suite.
  • Reasonable typing speed.
  • Proactive and a great positive thinker.
  • Must have the ability to multi task and to work under pressure.
  • Candidate must possess a friendly, helpful and outgoing personality.
  • Must be able to work efficiently and effectively without supervision.
  • Good secretarial and admin skills backed with certifications could be a plus.
  • Being Internet savvy and familiar with new IT trends could be a plus.
