We are recruiting to fill the following position:

Job Title: Secretary - Offshore

Location:
Offshore Nigeria

Job description
The Services are required offshore on a 12 hours per day, 7 days a week, back-to-back basis (i.e., two designees on a rotational back-to-back basis).
The Service consists:
  • To monitor and carry out all administrative work in relation with hook-up team and activities
  • To ensure hook-up personnel comply with Client’s Procedures
  • To assist the Head of hook-up as necessary.
Responsibilities
  • Assist Head of Hook-Up for administrative validation (time sheets, travel authorization, etc)
  • Collect and Monitor approval for hook-up team timesheet, travel forms, rotation schedule
  • Prepare and update all documentation related to general logistics (telephone & internet contact lists, etc)
  • Monitor hook-up personnel onboard AWB for safety induction, offices, bedrooms and IT allocation
  • Assist hook-up personnel for mobilisation / demobilisation
  • Book meeting room as necessary
  • Ensure that instructions given and/or received are well understood by all entity, nationality
  • Assist the logistics team and Contractor for material transfer
  • Assist for hook-up documentation
  • Assist for hook-up schedule monitoring.
  • To liaise with all disciplines as required for work optimization
  • Assist the Head of hook-up and hook-up team for special requests
  • Expedite daily report collection from each discipline.
  • Ensure good coordination and communication within project team and other entities (internal and external)
  • Ensure availability of stationary
  • Ensure printers and copy machines are well maintained, maintenance provider contact available
  • Order consumables [paper, cartridges, ] for printers and copy machines and ensure there is no stock shortage
  • Regularly communicate with the camp boss onboard, ensure satisfaction of guests and report any issue to Head of hook-up
