Role Purpose
  • Save the Children is seeking a Human Resources Assistant to provide administrative support and assistance for the development and management of Human Resources functions, for the development and maintenance of policies & procedures and for the promotion of its Child Safe Guarding Policy.
Key Areas of Accountability
The scope of this role will include:
  • Support with the reconciliation and processing of payments to Health Maintenance Organization (HMO) and Group Life Insurance vendors.
  • Responsible for maintaining digital records of staff data on Save the Children’s HR Information Systems.
  • Support in transiting information on hard copies of all HR related documents to the Oracle GHRIS system
  • Manage the collation of induction materials in readiness for Global Induction sessions.
  • Coordinate communication with candidates for interviews and provide detailed information on the location, job descriptions, and methodology.
  • Participate in the preparation for induction for new staff on the global and national policy guidelines and procedures.
  • Provide administrative support to supervisors to arrange training opportunities for staff.
  • Assist the HR unit in maintaining leave-tracking sheet and performance review schedule.
  • Organize central HR files.  Ensure documents are stored in an easy to access and understandable system.  Update and circulate the filing list regularly to HR team members.
  • Process payments for HR-related expenses and keep records accessible for audit checks.
  • Process documentation and prepare reports relating to staff activities (staffing, recruitment, training, grievances, performance evaluations etc).
  • Coordinate HR projects (meetings, training, surveys etc) and take minutes of team meetings.
  • Coordinate, track and provide feedback on requests from field HR teams to the country office.
Required Qualification
  • Level of Education - Bachelor’s Degree
  • At least two years of experience in a Human Resources role.
  • Specified Study Area - Human Resources/Administration/Social Sciences or prior experience in Human Resources
  • Language Requirements - English - Excellent
  • Excellent computer skills, knowledge of Human Resources Information Systems (HRIS), Excel and demonstrated skills in database management and record keeping.
  • Superior personal and ethical standards.
  • Ability to build rapport quickly with customers utilizing excellent customer service skills.
