A reputable Electrical, Mechanical and Communication Engineering Services Company based in Lagos is recruiting to fill the following position:

Job Title: Personal Assistant to the CEO

Location:
Lagos

Responsibilities
  • Maintain and develop systems, procedures and records to maximize the CEO’s effectiveness
  • Ensure necessary records are maintained that can readily provide current, accurate and accessible information
  • Work within the framework of the corporate plan as directed by the CEO
  • Support the CEO in the preparation and presentation of reports and proposals.
  • Support the CEO in the preparation of all documentation required for key decision making.
  • Comprehensive administration duties in support of the Chief Executive
  • Acting as the principal conduit for communication with the board and senior management team
  • Arranging the CEOs involvement in all corporate activities that warrant his/her input
  • Arranging travel and accommodation for the CEO
  • Day to day planning and organisation of the CEO’s diary
  • Dealing with the CEO’s communications and correspondence
  • Setting up meetings and appointments, organising venues and hospitality for visitors
  • Taking responsibility for the ordering of stationery and office supplies
  • Servicing the board including the production of agendas, minutes and key papers
  • Taking action notes at all meetings as directed by the CEO
  • Undertaking mailings and communication as directed by the Chief Executive
  • Setting up and maintaining the integrated electronic and paper based filling systems
  • Working with the communications team to maintain and develop databases and mailings
  • Developing lists to ensure they are current and up to date at all times
  • Work with the communications or PR team in establishing in promoting the business and the CEO’s leadership of it
  • Any other duties appropriate to the post
Person Specification
A PA must be able to demonstrate understanding, experience and ability as follows:

Essential or for Training
  • A PA will have demonstrable experience of working in support of a senior individual and have an understanding of the need for confidentiality
  • A PA will have an understanding of the requirements and implications of working with a CEO
  • A PA will have the ability to understand a broad range of business activities from HR to Marketing to Production to Finance
  • A PA will demonstrate the ability to exercise compassion and assertiveness when situations demand
  • A PA will be IT literate; experience of word, excel, PowerPoint, CRM or database management and other major software applications
  • A PA will possess excellent administration and good secretarial skills
  • A PA will possess excellent verbal and written communication skills
  • A PA will have a demonstrable interest in the activity of the business
  • A PA will have knowledge of procedures to ensure protocols are observed when dealing with internal and external customers on behalf of the CEO
  • A PA will be keen to develop their experience through training, qualification and continuing professional development
  • A PA will be a member of an appropriate professional body.
Requirements
  • A bachelor degree in Humanities, an MBA is an added advantage
  • Five years working experience in a similar position
  • Age: The applicants must not be less than 25 years and not more than 40 years of age
