Job Title: Vendor Management Officer

Job Purpose

  • Manage the procurement process for on boarding/registration of vendors.
  • Provide feedback to concerned stakeholders on different stages of the on boarding process.
  • Identify vendor value-add opportunities on day-to-day activities and from proposals and mails received from vendors.
  • Contribute to the achievement of the target for Service Charter
  • Establish and maintain sound stakeholder management principles
  • Maintain tracking system/database for all vendor proposals, on-boarding requests and complaints.
  • Continuous research and market analysis on products to compare pricing & services with an ambition to enable proactive cost reduction and enhanced service quality.
Key Responsibilities
  • Execute day-to-day procurement tasks within agreed Turn around time
  • Develop and manage tracking methodology for proposals, vendor on-boarding requests and vendor complaints.
  • Develop and manage tracking methodology for contracts and service provider/level agreements.
  • Develop and manage tracking methodology for vendor performance review.
  • Review, update and action on vendor on-boarding requests on remedy.
  • Expedite approval flow to ensure quick closure of vendor registration requests.
  • Obtain RFPs for Goods or Services in all sourcing categories.
  • Resolve queries in a professional manner.
  • Communicate time frames to resolve queries.
  • Vendor requests/invoices to be resolved within SLA.
  • Monitor vendor delivery timelines in accordance with Purchase orders and contracts.
  • Source new vendors;
  • Receive specification from the business unit and check with Sourcing and Expense Control to find appropriate suppliers.
  • Activate on-boarding of new vendors as specified.
  • Customer Service
  • Provide excellent customer service
  • Maintain excellent relationships with all stakeholders
  • Provide regular updates relating to vendor management – on boarding, conflict resolution and performance reviews.
  • Ownership and accountability for associated vendor requests until goal is fulfilled.
  • Educate Business on vendor management policy, processes, systems and governance.
  • Governance
  • Ensure adherence to policies and procedures of Stanbic IBTC
  • Optimisation of Internal Processes, reduction of risk.
  • Establish and maintain robust seamless process for vendor management
  • Ensure compliance with the use of available sourcing processes and channels
  • Reports:
  • Reports on activities relating to:
    • Adherence to timelines on POs issued and agreements executed (weekly)
    • Renewals of agreements (monthly)
    • Supplier Performance Reviews and Meetings. [weekly/monthly]
    • On-boarding analysis for vendors (solicited and un-solicited). [monthly]
  • Research: any new findings and opportunities. [monthly]
Key performance measures
  • Ensure turnaround times are met with regards to vendor management processes.
  • Ensure Minimum 80% PO vendor SLA compliance
  • Communicate Policies and Procedures to business partners and suppliers to ensure compliance adherence.
  • Contribute to the achievement and exceeding of service charter targets.
  • On-time Delivery: All requests and complaints are expected to be dealt on-time as per agreed service levels presented to the vendor/customer.
  • Communicate delivery delays to buyers/sourcing team as promptly as possible: Before the delivery due date or on the date of delivery.
  • Report supplier performance issues and ensure that all relevant supporting evidence is made available i.e. communication, other documentation in the form of an invoice, PO, delivery note, quote etc.
  • Expediting: Follow up as per delivery intervention process (50% and 1 business day prior to delivery date) on all outstanding orders and have evidence to support expediting activities i.e. communication on e-mail is the primary source to confirm your performance in relation to expediting. [If orders are delayed/late, and the evidence supports inferior expediting, performance is measured as “did not meet requirements”. Two KRAs are impacted i.e. late delivery and expediting = overall performance of “did not meet requirements”]
Required Skills and Qualifications
Qualifications
  • Bachelor's Degree with at least 2-years cognate work experience in procurement, contract and supply chain management
Experience
  • Sap SRM Knowledge essential
  • Understanding of the operations within Procurement department

Internal relationships
  • Relationships with stakeholders of commodity portfolio under their management which includes; Directors and Senior Staff across functional and hierarchical boundaries.
  • The incumbent is responsible establishing, brokering and leveraging a wide and diverse span of relationships and alliances across functional boundaries within the Provincial Management and the head office specialist/ support network which is fundamental to the attainment of integration, coordination, budgetary control and commitment needed to achieve objectives and prompt problem resolution.
External relationships
  • Suppliers, limited to services rendered specific to the commodity portfolio under their management which includes engagement with but not limited to; Directors, Sales Managers, Business Owners etc.
