Job Title: Head of Committee Secretariat

Location: Lagos Island, Lagos

Job Summary

  • We requires the services of a Head of Secretariat to complement the services of Executives/Management to ensure proper records and proceedings of the Executives / Management are maintained.

Responsibilities

  • Supervising and coordinating the work of the Secretariat.
  • Be responsible for the daily functioning of the office of the Committee Secretariats  Reporting to Executives/Management and performing secretarial duties.
  • Provide inspirational and motivational leadership to the Secretariat and ensure all staff are supported and developed through objective setting, training, regular team meetings - Processing, typing, editing, and formatting reports and documents.
  • Drawing up agreements and Reviewing legal documents(Contracts).
  • Filing of CAC documents and ensuring that we comply with all Government regulations.
  • Filing documents, as well as entering data and maintaining databases.
  • Liaising with internal departments and communicating with the Executives.
  • Directing internal and external calls, emails, and dispatch to designated executives and departments.
  • Arranging and scheduling appointments and meetings.
  • Monitoring office supplies and ordering replacements.
  • Assisting with copying, scanning, dispatching, emailing, note-taking, and executive event planning.
  • Preparing facilities and arranging refreshments for executives' meetings, if required.
  • Observing the best business practices and etiquette.

Preferred Professional Qualification

  • Professional Membership of Institute of Chartered Secretaries and Administrators (ICSAN).

The preferred Candidate must possess the following qualifications:

  • Minimum of 10 years post-call in legal practice with good secretariat/ administrative experience, 5 years of which must be at a senior level supervising.
  • Female Preferred for Gender Balance.
  • Excellent communication skills, both verbally and in writing with experience in building relationships with a diverse group of stakeholders.
  • Excellent interpersonal skills in dealing with Executives, and a wide range of individuals.
  • Ability to deal appropriately with confidential or sensitive matters.
  • Flexible, and comfortable in managing conflicting priorities and ambiguous contexts. Resilient and able to deal with conflict and the requirement to work under pressure.
