Job Description
- The Facility Administrator will be responsible for the running of their facility, including overseeing its asset procurement and maintenance, third party vendors and contractors’ management, and also provide services geared towards enhancing operational efficiency to ensure the facility is safe and its clients can work under the best conditions.
Job Responsibilities
- Efficiently sort emergency issues as they arise in the facility.
- Oversee the maintenance of the facility as required.
- Organizing stakeholder’s meetings with facility occupants.
- Meeting with potential occupants, amiably showing them available offices and amenities on the property.
- Maintain accurate records of equipment functioning status and coordinate compliance with maintenance checklist.
- Ensure all processes and procedures are complied with at all times.
- Develop a schedule for regular evaluation, replacements and repairs of equipment and amenities in the facility.
- Ensure prompt payment of all statutory bills to negate downtime.
- Management of all facility personnel.
- Develop and execute a system for regular cleaning, security, gardening, parking, repair and general facility management.
- Develop and maintain a viable relationship with key personnel in government agencies (LAWMA, LASTMA, Police, the applicable Power Distribution company etc.)
- Use best business practices to review, manage and minimize operational costs.
- Investigating and resolving property complaints and property violations.
- Carryout proper price review, before selecting the best vendors/artisans.
Requirements
- HND / B.Sc in Estate management or any related course. (Certifications in Facility management is an advantage)
- Minimum of 7 years’ work experience with up to 5 years in core Facilities Administration.
- Expertise in SLA drafting and 3rd party vendor dealings.
- Keep track of insurance plans and service contracts
- Maintain excellent financial records.
- Excellent leadership qualities, especially with employee mentorship and motivation.
- Excellent time management and multi-tasking skills.
- Excellent communication skills
- Analytical and technical problem-solving skills.
- Excellent risk management skills.
- Excellent Customer Service skills.
