We are recruiting to fill the position below:

Job Title: Office Secretary / Personal Assistant

Location: Akure, Ondo
Employment Type: Full-time

Job Description

  • The Secretary maintains effective records and administration for the company, keeping up-to-date contact details (i.e. names, addresses and telephone numbers) for the company, including filing minutes and reporting. The secretary also compile the lists of names and addresses that are useful to the organisation, including those of appropriate officials or officers of voluntary organisations.

Administrative Secretary Responsibilities

  • Reporting directly to the Managing Director and sometimes, through the Office Manager.
  • Processing, typing, editing, and formatting both commercial and non-commercial reports and documents.
  • Filing documents, as well as entering data and maintaining databases.
  • Liaising with internal departments and communicating with the public.
  • Directing internal and external calls, emails, and faxes to designated destination.
  • Arranging and scheduling appointments, meetings, and events.
  • Monitoring office supplies and ordering replacements.
  • Assisting with copying, scanning, faxing, emailing, note-taking, and travel bookings.
  • Preparing facilities and arranging refreshments for events, if required.
  • Observing the best business practices and etiquette

Meeting Responsibilities

  • Liaising with the Managing Director and the General Manager to plan meetings
  • Receiving agenda items from committee members
  • Circulating agendas and reports
  • Taking minutes
  • Circulating approved minutes
  • Checking that agreed actions are carried out.

Upholding Legal Responsibilities

  • Acting as custodian of the organisation's governing documents
  • Checking quorum is present at meetings
  • Ensuring organisation's activities are in line with its objects
  • Ensuring charity and company law requirements are met
  • Sitting on appraisal, recruitment and disciplinary panels, as required.

Requirement

  • Candidates should possess a Bachelor's Degree qualification.

Salary
N40,000 - N50,000 / Month.
