Job Title: Front Desk Executive / Personal Assistant

Location: Abuja (FCT)
Employment Type: Full-time

Responsibilities

  • Welcome, register guests/clients and attend to them in a prompt and timely manner
  • Answers the phone while maintaining a polite, consistent phone manner using proper telephone etiquette.
  • Pre-admits patients by receiving bookings from physicians; interviewing patients; entering patient information to hospitals database.
  • Ensures patient’s arrival to the appropriate hospital department or testing area. Notifying nursing unit of patient’s arrival; calling volunteer to transport the patient to the assigned area.
  • Receives incoming communiques and forward to their relevant departments.
  • Provides information to the public on hospital regulation and service inquiries of patients and the public; referring inquiries to the appropriate personnel for resolution
  • Facilitates patient flow by notifying the provider of patients’ arrival, being aware of delays, and communicating with patients and clinical staff
  • The front desk staff on duty has to be extra vigilant, report suspicious movement and persons to the appropriate unit for escalation
  • Ensure persons accompanying emergency patients to the hospital are well guided, limited, monitored and looked after
  • Provides clerical support to an assigned Director and related office; organizes and expedites the flow of work
  • Performs specialized secretarial duties designed to relieve a Director of clerical and administrative support detail; coordinates department-related communications as assigned.
  • Establishes and maintains record systems and files; updates and maintains complex records and reports related to assigned program and activities including those of a confidential nature.
  • Updates and maintains assigned calendars; arranges and schedules meetings, appointments and interviews; assists with arranging and scheduling special events, professional development events and other program-related events as assigned by the position.
  • Assists the Director with meeting preparation; sends invitations, prepares agendas, makes copies of handouts and materials, reserves and sets up conference and meeting rooms accordingly;
  • Arranges for meeting refreshments; attends assigned meetings and takes meeting notes; distributes meeting notes to appropriate parties.
  • Performs a variety of clerical accounting duties in support of an assigned program or office as assigned.
  • Submits purchase orders, work orders, warehouse orders, personnel requisitions, facility requests, travel requests, consultant paperwork and requests for reimbursements as assigned; processes stipends for assigned personnel according to established procedures as assigned; receives and processes applications and paperwork related to the assigned department and program.

Requirements
Education:

  • At least a B.Sc Degree in Business Administration, Marketing, Political Science, Sociology, Computer Science or related course is desirable, or equivalent practical experience.

Experience:

  • 1 - 3 years relevant work experience.
