Pandagric Novum Limited was incorporated in 2006 under the name Novum Agric Industries. The business commenced operations in 2010, with the manufacture and distribution of commercial poultry feed, and in 2018, through a consortium of international and local investors, commenced its expansion and backward integration, which involves the expansion of its manufacturing activities, warehousing capacity and commercial farming activities.

We are recruiting to fill the position below:

Job Title: HSSE Administrator

Location: Panda, Nassarawa
Employment Type: Full-time
Reports to: HSE Manager & Head HSSE
Supervises (Direct/ Indirect): Nil

Job Objective(s)

  • Effectively maintain and co-ordinate an Administration System for the operation of the Health, Safety and Environmental Programme.

Responsibilities

  • The HSSE Administrator is responsible for MAINTAINING the HSE Management System and ENSURING that all system documentation, procedures and relevant records are timely updated, distributed and filed.
  • Assists HSE Manager with scheduling and carrying out internal audits.
  • Effectively maintain and co-ordinate an Administration System for the operation of the Health, Safety and Environmental Programme. This will include but not be limited to the following functions:

Description of Tasks

  • Timely Checks, Controls and Distributes HSE documents and procedures as per the HSE Management System procedures.
  • Follows Up on corrective action from Incident reports and Audit reports. LOGS down and follows up on long term corrective action. Prepares a monthly HSE report.
  • Maintains records of all ISO training and assists with training as scheduled by the HSE Manager.
  • Schedules internal audits, follows up on all finding until completed.
  • Communicates/Liases with the HSE Manager and Departmental Managers, and timely advises on any possible System Non-conformance or breakdowns in the HSE System.
  • Ensures that all operations are carried out as per ISO 14000/45000 HSE Management System to achieve the quality standards
  • Compiles a HSE Monthly report for HSE on audits conducted, and incidents investigated, and corrective action pending from these.
  • Ensure all relevant Environmental data is collected and recorded and disseminated as required.
  • Ensures that all HSE records are timely updated and filed, and obsolete records are removed and destroyed.
  • Ensures filing of Safety System Documentation according to ISO standards
  • Performs admin work involving registers/accident files
  • Prepares safety reps reports and action items for the safety meetings
  • Takes minutes of all Safety meetings, typing out for approval and distribution to committee members.
  • Captures safety data for reporting purposes
  • Manages Safety Spotter Reports
  • Effectively manages & records all data related to HSSE Improvement Report booklets
  • Issue and Control of HSSE Improvement Report booklets
  • Issue and Control of HSSE Gate Pass System
  • Issue and Control of PNL Permit to Work System documents
  • Monitor compliance of vehicle checklists and file for Hyster’s and Forklifts inspection registers
  • Compile monthly Factory report which overviews all near misses, incidents, safety file inspection conformance, planned job observations, toolbox talks etc.
  • Despatch necessary Investigation documents and follow up progress on completion thereof

Capture Incident Data:

  • Draw up Injury Statistics and prepare a draft monthly report for approval
  • Electronically and physically control Incident / Accident Record keeping, monitor status quo and follow up where necessary.

Co-ordinate an administrative system to ensure the following HSE Management System documents are kept: (These documents are to be kept & managed in the HSSE Department as per document control procedure):

  • HSE Appointments
  • Health and Safety Committee minutes including the taking of such
  • Health and Safety Representative Inspections & analysis thereof
  • Relevant HSE Registers, and ensuring completion thereof as well relevant communications as required
  • All finalised Incident Files filed
  • The preparation of all Departmental Safety Files.

Carry out all Secretary Duties for the Health and Safety Committees. This will include but not be limited to the following:

  • The drawing up and distribution of Agendas.
  • The preparation and recording of all minutes in good time.
  • The follow up and sending out of reminders of all outstanding action items.

Key Performance Indicators:

  • 100% compliance with approved procedures and processes
  • 100% achievement of assigned tasks within the allotted time

Qualifications and Experience

  • A Degree / Advance training in the field of HSSE.
  • ISO 14000 /45000 System Training
  • 2-3 years relevant experience working in a similar role
  • Knowledge, Experience and Understanding in the application and implementation of safety standards & principles.
