Job Description

  • The Administrative Assistant is responsible for providing administrative support to the organization's management team.
  • They perform a variety of tasks to help ensure the smooth operation of the office and support the efficient functioning of the management team.
  • The Administrative Assistant must be highly organized, detail-oriented, and able to work independently in a fast-paced environment.

Responsibilities

  • Provide administrative support to the organization's management team, including scheduling meetings, preparing agendas, and taking minutes.
  • Answer and direct phone calls, emails, and other inquiries to the appropriate person or department.
  • Assist in the preparation of reports, presentations, and other documents as needed.
  • Manage calendars and schedule appointments for the management team.
  • Coordinate travel arrangements and prepare expense reports.
  • Order and maintain office supplies and equipment.
  • Provide general administrative support, such as filing, data entry, and photocopying.
  • Assist with event planning and coordination.
  • Maintain accurate records and files.
  • Maintain confidentiality of sensitive information and documents.

Qualifications

  • HND / B.Sc or equivalent, in relevant fields.
  • Minimum of 4 years of experience in an administrative support role.
  • Excellent organizational and time management skills.
  • Strong attention to detail and ability to work independently.
  • Proficient in Microsoft Office Suite and other office management software.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Experience with event planning and coordination is a plus.
  • Strong problem-solving skills and ability to handle confidential information with discretion.
  • Willingness to learn and adapt to new tasks and responsibilities as needed.
