Job Description

  • The Secretary - Contract Staff is responsible for providing administrative and clerical support to the organization's managers and employees.
  • They are contracted for a specific period of time to support the organization's operational and administrative needs. The Secretary – Contract Staff must be able to work independently in a fast-paced environment and provide high-quality support to the management team.

Responsibilities

  • Answer and direct phone calls, emails, and other inquiries to the appropriate person or department.
  • Schedule meetings and appointments for the management team.
  • Prepare and distribute correspondence, reports, and other documents as needed.
  • Maintain accurate records and files.
  • Assist in the preparation of presentations, reports, and other documents.
  • Handle sensitive and confidential information with discretion.
  • Coordinate travel arrangements for the management team.
  • Order and maintain office supplies and equipment.
  • Perform other administrative and clerical duties as needed.

Qualifications, Experience, and Attributed Skills

  • HND or equivalent, in relevant field
  • Minimum of 3 years of experience in an administrative or secretarial role.
  • Excellent organizational and time management skills.
  • Strong attention to detail and ability to work independently.
  • Proficient in Microsoft Office Suite and other office management software.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Experience with event planning and coordination is a plus.
  • Strong problem-solving skills and ability to handle confidential information with discretion.
  • Willingness to learn and adapt to new tasks and responsibilities as needed.
