Job Title: Executive Assistant

Job Responsibilities
- Manage the MD/CEO's calendar, scheduling appointments, meetings, and conferences, ensuring efficient time management.
- Coordinate travel arrangements, including accommodations, transportation, and itineraries for the MD/CEO.
- Prepare and organize necessary documents, presentations, and reports for meetings and events.
- Act as a liaison between the MD/CEO and internal departments or external parties, facilitating communication and ensuring timely responses.
- Attend meetings with or on behalf of the MD/CEO, taking notes, and reporting back on action items and decisions.
- Assist in the preparation and execution of the MD/CEO's strategic projects and initiatives.
- Organize and maintain filing systems, both physical and electronic, for the MD/CEO's office.
- Handle confidential information and sensitive matters with discretion and professionalism.
- Support the MD/CEO in the management of internal and external stakeholders, building and maintaining strong professional relationships.
- Conduct research and analysis as required, providing the MD/CEO with insights and recommendations.
- Provide administrative support, such as answering phone calls, managing correspondence, and maintaining office supplies.
- Assist in the planning and coordination of company events, ensuring smooth execution and positive outcomes.
- Perform any other tasks and duties as assigned by the MD/CEO.
Requirements
- A Bachelor's Degree in Business Administration, Management, or a related field.
- 3 - 5 years of experience as an executive assistant, administrative assistant, or in a similar role supporting senior-level executives.
- A professional and positive attitude, representing the MD/CEO and the company with integrity.
- Initiative and proactivity in anticipating and addressing the needs of the MD/CEO.
- Flexibility and adaptability to changing priorities and demands.
- Demonstrates a high level of discretion in handling sensitive information, exercising sound judgment in decision-making processes.
- Aids team members when needed, contributing to the achievement of collective goals and fostering a collaborative work environment.
- Upholds a strong sense of integrity and honesty in all aspects of the role, building trust and credibility with colleagues and stakeholders.
- Displays a willingness to work long hours and be responsive, showing commitment to the role and the company's success.
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Familiarity with project management tools and software.
- Strong research and analytical skills.
