We are recruiting to fill the position below:

Job Title: Human Resources Assistant (Pool)

Location: Abuja
Contract: 208 working hours per month

Main Purpose

  • Execute administrative tasks and do follow up of coordination human resources, according to the Personnel Administration Manager’s indications and MSF procedures, in order to ensure legal compliance and keep a strict control over monetary resources.

Job Description

  • Execute administrative and legal related tasks, under supervision of the Personnel Administrator Manager, checking payroll calculations and updating personal files in order to ensure accuracy, compliance and on time payments.
  • Prepare employment contracts in conformity with legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance.
  • Enter data into the HR database and personal files and keep them up to date in order to facilitate HR processes management.
  • Update Social security (NSITF, Pension and NHF) and Tax office (PAYE) employee files in order to meet legal requirements and duties
  • Prepare the files for payment for social security (mission scope) and tax office (coordination and eprep) and send it to the finance for entry and payment.
  • Participate in the update of the life insurance by giving the Personal Administration Manager the names of those to be added to / subtracted from the MSFF life insurance coverage/remittance.
  • Complete and update the list of MSFF staff and dependents under MSFF medical coverage. Submit it to the medical department when there’s a new staff or a change in the contract. Ensure that proper justifications for dependents are updated and included in the employee file.
  • Draw up monthly pay slips for all staff, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll. Ensure that the payslips are signed by the staff.
  • Draw up the final pay slip and employment certificate at the end of a contract in order to meet legal requirements while defending MSF ’s interests.
  • Make all administrative information available to the staff (posting, meetings, etc.). Receive the new employees / inform the employees of their rights and duties under the legislation and MSF HR rules (TCE, circulars, contract).
  • Participate to the holiday planning, by informing the employees about their holidays, tracking outstanding holidays and anticipating the adjustment required.

Requirements
Education:

  • Essential: University Degree
  • Desirable: Finance, Business or administration related Degree

Experience:

  • Essential: 2 years’ relevant professional experience in similar position
  • Desirable: Previous experience in MSF or other NGOs.

Languages:

  • Essential: Fluency in English
  • Desirable: Any local language

Computer Knowledge:

  • Literacy in Microsoft Packages (Word, Excel, Outlook and Internet)
