Job Overview

  • Our dynamic and growing real estate broker firm is seeking a highly motivated and customer-focused individual to join our team as a Client Relations Specialist.
  • The ideal candidate will be responsible for building and maintaining strong relationships with clients, ensuring exceptional customer satisfaction, and contributing to the overall success of the firm.

Key Responsibilities

  • Client Communication: Act as the primary point of contact for clients, addressing inquiries, concerns, and providing timely and accurate information.
  • Maintain regular communication with clients through various channels, including phone calls, emails, and in-person meetings.
  • Client Onboarding: Guide clients through the onboarding process, collecting necessary documentation and information for property listings.
  • Ensure all client details are accurately entered into the database.
  • Property Showings and Tours: Coordinate property showings and tours for clients, ensuring a seamless and positive experience.
  • Provide detailed information about properties, neighbourhoods, and market trends to clients during tours.
  • Market Research: Stay informed about the real estate market trends, property values, and industry changes.
  • Provide clients with market analysis reports and assist them in making informed decisions.

Client Feedback and Follow-up:

  • Gather feedback from clients after property showings and transactions.
  • Implement improvements based on client feedback and ensure a high level of customer satisfaction.
  • Documentation and Contracts: Assist clients in completing necessary paperwork, contracts, and documentation.
  • Collaborate with the legal team to ensure all contracts are accurate and compliant with regulations.
  • Conflict Resolution: Address and resolve any client concerns or conflicts in a professional and timely manner.
  • Work closely with other team members to find solutions to client issues.
  • Networking and Relationship Building: Attend industry events, networking functions, and community gatherings to build and maintain a strong professional network.
  • Foster positive relationships with other real estate professionals, vendors, and service providers.

Qualifications

  • Proven experience in client relations, customer service, or a related role.
  • Strong interpersonal and communication skills.
  • Knowledge of real estate industry practices and regulations.

Recommended Daily Tasks:

  • Conduct client check-ins and follow-ups to ensure satisfaction.
  • Review and respond to client emails and inquiries promptly.
  • Update client records and transactions in the CRM system.
  • Research and compile market data for client presentations.
  • Schedule and coordinate property showings and tours.
  • Attend team meetings to discuss client updates and share market insights.
  • Review and prepare contracts and documentation for upcoming transactions.
  • Participate in networking events or activities to expand professional connections.
