We are recruiting to fill the position below:

Job Title: Executive Assistant / Head of Administration (Office of the GMD)

Location: Wuse 2, Abuja (FCT)
Employment Type: Full-time

Position Summary

  • Reporting directly to the GMD, the Executive Assistant / Head of Administration (Office of the GMD) provides executive, administrative, and development support to the GMD.
  • The Executive Assistant / Head of Administration (Office of the GMD) serves as the primary point of contact for internal and external matters pertaining to the GMD office.
  • You will serve as a liaison to the heads of each subsidiary on behalf of the GMD.

Essential / Primary Responsibilities
Executive Support:

  • Responsible for appropriately following up subsidiary heads on the GMD behalf
  • Ensures project/vision implementation status is communicated to GMD on a daily basis
  • Responsible for tidying up all loose ends as it relates to the office of the GMD.
  • Daily briefing to the GMD on each subsidiary status.
  • Responsible for proper documentation as it relates to the GMD’s office
  • Assists the GMD with daily administrative duties and completes a broad variety of administrative tasks.
  • Communicates with the AGM of each subsidiary on GMD’s behalf.
  • Managing diaries and organizing meetings and appointments, often controlling access to the GMD.
  • Reminding the GMD of important tasks, implementation status, upcoming commitments and deadlines.
  • Managing databases and filing systems implementing and maintaining procedures/administrative systems.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the GMD office, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, response and judgement that reflects the GMD style and organization policy

Secondary Responsibilities:

  • Performs other duties as assigned.

Accountabilities:

  • Position reports to the Group CEO.
  • Works directly with senior level staff and HR both internally and externally.

Experience & Education

  • Bachelor's Degree (LL.B)
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Five to ten years providing support for upper-level management in a related organization

Skills & Abilities:

  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
  • Proficiency in Windows, including MS Word, EXCEL and PowerPoint
  • Ability to work independently and with professional discretion.
  • Excellent writing, editing, grammatical, organizational, and research skill
  • Excellent management, time-management, and problem-solving skills

Major requirement:

  • Candidate MUST be based in FCT (ABUJA)
