Job Overview

  • We are seeking a highly organized and proactive Assistant Administrative and Liaison Officer to join our team.
  • In this role, you will provide administrative support to our office, ensuring efficient operations and facilitating communication between our mentors, mentees and external stakeholders.

Key Responsibilities

  • Administrative Duties: primarily handles administrative tasks related to the mentorship program. This includes managing program logistics, scheduling meetings, and organizing events.
  • Coordination and Support:
    • Often acts as a central point of contact and support within the organization.
    • Facilitate internal communication, assist with scheduling, and ensure the smooth flow of administrative processes.
  • External Liaison: may interact with external stakeholders, external communication is limited to coordinating meetings and events and responding to inquiries.
  • Record Keeping:
    • Maintain records of program activities, attendance, and communication.
    • Ensure that program documentation is accurate and up-to-date.
  • Event Coordination: responsible for planning and organizing mentorship-related events, workshops, and meetings.

Qualifications

  • Bachelor's Degree in Business Administration, Communications, or a related field.
  • Proven experience in an administrative role, preferably within a dynamic office environment.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills, with a proven ability to meet deadlines.
  • Proficiency in Microsoft Office Suite and experience with administrative software.
  • Ability to handle confidential information with discretion.
  • Strong interpersonal skills and the ability to work well with diverse teams.
