Job Title: Office Assistant

Description 

  • Our client is seeking a diligent and organized Office Assistant to support theirreal estate team. The ideal candidate will be responsible for a variety of administrative tasks to ensure the efficient operation of the office. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities

  • Administrative Support:

    • Assist with daily administrative tasks, including answering phones, managing emails, and scheduling appointments.
    • Maintain organized and up-to-date filing systems, both electronic and physical.
    • Prepare and distribute correspondence, reports, and other documents as needed.
  • Office Management:

    • Monitor and maintain office supplies inventory, placing orders when necessary.
    • Ensure the office environment is clean, organized, and professional.
    • Coordinate maintenance and repair of office equipment.
  • Client and Visitor Interaction:

    • Greet and assist clients, visitors, and vendors in a courteous and professional manner.
    • Provide general information about the company and its services.
  • Real Estate Support:

    • Assist real estate agents with the preparation of property listings, marketing materials, and open house schedules.
    • Manage and update property databases and records.
    • Coordinate with clients and third parties for property showings and inspections.
  • Financial Administration:

    • Handle basic bookkeeping tasks, including processing invoices and managing petty cash.
    • Assist with the preparation of financial reports and expense tracking.
  • Communication:

    • Act as a point of contact for internal and external communications.
    • Coordinate meetings, conference calls, and appointments for the team.

Required Qualifications

  • Ordinary School Diploma or equivalent, Associate's or Bachelor’s Degree in Business Administration or related field is a plus.
  • Proven experience as an office assistant, administrative assistant, or in another relevant administrative role.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.

Desired Skills:

  • Basic knowledge of bookkeeping and financial transactions.
  • Ability to handle confidential information with discretion.
