Job Description
- Provide exceptional customer service, manage front desk operations, and perform administrative tasks to ensure a welcoming and efficient office environment.
Key Responsibilities
Front Desk Operations:
- Greet visitors, clients, and employees, ensuring a warm and professional welcome.
- Manage reception area, maintaining organization and cleanliness.
- Answer and direct phone calls, respond to voicemails, and handle email inquiries.
- Monitor and control access to the building, issuing visitor badges as needed.
Administrative Tasks:
- Manage calendars, schedule appointments, meetings, and events.
- Coordinate travel arrangements, book flights, and hotels.
- Prepare and distribute documents, reports, and correspondence.
- Maintain accurate records, files, and databases.
Communication and Customer Service:
- Respond to client inquiries, providing timely and accurate information.
- Resolve issues promptly, escalating concerns to management as needed.
- Develop and maintain positive relationships with clients, vendors, and colleagues.
Additional Responsibilities:
- Maintain office supplies, order materials, and manage inventory.
- Assist with event planning, coordination, and execution.
- Provide support to colleagues with administrative tasks.
Key Performance Indicators (KPIs)
- Customer satisfaction ratings.
- Response time to phone calls and emails.
- Accuracy and timeliness of administrative tasks.
- Maintenance of organized and welcoming reception area.
- Team support and collaboration.
Requirements
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- 1 - 2 years of receptionist or administrative experience.
- Excellent communication, organizational, and interpersonal skills.
- Proficiency in MS Office, calendar management, and phone systems.
Desirable Qualities:
- Professional certifications (e.g., Certified Administrative Professional).
- Experience with customer relationship management (CRM) software.
- Knowledge of office management software and systems.
Salary
N50,000 - N90,000 monthly.
