Job Description

Rationale:
  • The technical expertise and administrative capacity within UNDP to manage and implement planned programme for 2015 under the conflict prevention and peace building programme is limited.
  • Therefore, there is the need to outsource for competent experts to provide technical and administrative services for all aspects of the planned activities.
  • This consultancy, therefore, is required to enlist persons with requisite expertise, knowledge and competences to provide technical support services, on need basis, to complement UNDP’s capacity for the implementation of the 2015 Annual Work Plan under the Conflict Prevention and Peace Building Programme.
Duties and Responsibilities
The consultants will be required to provide administrative and logistic support to trainings, workshops, dialogue fora and meetings.Specifically, the consultants will, among others, be required to perform the following tasks:
  • Provide administrative support for effective management of the trainings, workshops, dialogue fora, meetings;
  • Circulate Logistic Note to the participants and ensure compliance;
  • Provide participants with the relevant information about the particular event, accommodation, entitlements and check-in to the hotel;
  • Maintain accurate list of participants and their accounts details;
  • Take daily attendance of the participants with their signatures
  • Package and distribute writing materials for the participants;
  • Liaise with the hotel personnel and service providers to ensure that facilities and services meet the standard requirements;
  • Attend to complaints from the participants;
  • Work with the hotel personnel to prepare the workshop venue for the workshop;
  • Liaise and work with the organizing partners for a successful programme;
  • Prepare the report of the programme; and
  • Carry out any other duties as may be assigned by the Programme Co-ordinator.

Expected Outcomes/Deliverables
At the end of each programme/event, consultants will be expected to deliver the following outcomes/results:
  • Ensure effective implementation of programme;
  • Accurate list of participants with their NUBAN account details;
  • Daily list of participants with their signatures;
  • Contribute significantly to the success of programme; and
  • Provide programme report.
Competencies
  • Strong writing skills particularly in preparing issue-based papers or technical reports;
  • Meeting deadlines and maintaining high-quality of output even while working under pressure;
  • Good judgment and experience working in a multi-cultural setting are critical;
  • Excellent communication / organizational skills, attention to details;
  • Ability to operate personal computers, corporate and commercial software applications and databases such as Microsoft Office, Microsoft Outlook, Internet;
  • Highest standards of integrity and discretion are essential.
Required Skills and Experience
Education:
  • Minimum of School Certificate or higher qualification in any field of study or similar qualifications.
Experience:
  • At least 5 years working experience in training/workshop/dialogue management, rapporteur and report writing;
  • Similar work experience in international organizations or UNDP;
  • Experience in UN training/workshop management.
Language:
  • Fluent in English.
