Description
- The Office Assistant for a Drop Innovations plays a key role in ensuring smooth day-to-day operations by providing administrative support.
- This position requires a detail-oriented individual who can handle various tasks related to office management, customer service, and logistical coordination.
Key Responsibilities
Administrative Support:
- Answer phone calls, emails, and handle customer inquiries.
- Schedule appointments and meetings for management and staff.
- Maintain and organize office files, documents, and records.
- Assist with preparing reports, invoices, and other documentation.
Customer Service:
- Communicate with clients regarding service inquiries, delivery schedules, and issues.
- Process customer orders and update status.
- Coordinate with drivers and clients to ensure timely deliveries.
Logistical Coordination:
- Help track shipments, monitor delivery schedules, and address delays or issues.
- Assist in the preparation of shipping routes and schedules for drivers.
- Communicate with warehouse and drivers to ensure efficient cargo movement.
Data Entry & Recordkeeping:
- Input and update data in transportation management systems.
- Track inventory, shipments, and vehicle maintenance records.
- Maintain accurate driver logs and vehicle documents.
Office Maintenance & Supplies:
- Manage office supplies and place orders as needed.
- Ensure the office is well-organized, clean, and equipped.
General Support:
- Provide support to management and staff with ad-hoc tasks as required.
Qualifications
- High School Diploma or equivalent; some college or administrative certifications preferred.
- Previous experience in an office assistant or administrative role, preferably in a transportation or logistics setting.
- Strong organizational and multitasking skills.
- Excellent communication and customer service skills.
- Proficient in MS Office Suite (Word, Excel, Outlook).
- Familiarity with transportation management systems or logistics software is a plus.
- Ability to work in a fast-paced environment and handle multiple tasks efficiently.
Working Conditions:
- Full-time position, Monday through Friday (hours may vary based on operational needs).
Salary & Benefits
- NGN 50.000,00 / Month (Based on experience).
