Job Title: Secretary to the Group Managing Director

Location: Abuja (FCT)

Job Summary

  • We are seeking a highly organized, discreet, and experienced Secretary to provide administrative support to the Group Managing Director (GMD).
  • The successful candidate will be responsible for managing the GMD's schedule, coordinating travel arrangements, preparing correspondence, and ensuring the smooth operation of the GMD's office.

Responsibilities

  • Manage the GMD's schedule, including coordinating meetings, appointments, and travel arrangements.
  • Prepare and coordinate correspondence, reports, and presentations on behalf of the GMD.
  • Develop and maintain effective filing systems, both physical and digital.
  • Handle confidential and sensitive information with discretion.
  • Coordinate and arrange meetings, conferences, and other events as required.
  • Develop and maintain relationships with key stakeholders, including senior management, customers, and suppliers.
  • Provide administrative support to the GMD, including preparing expense reports, arranging travel, and coordinating logistics.
  • Ensure the GMD's office is well-organized and maintained.
  • Develop and implement administrative processes and procedures to improve efficiency.
  • Perform other administrative tasks as required.

Requirements

  • Minimum of 5 years experience as a secretary or administrative assistant to a senior executive.
  • Bachelor’s degree in business administration, Secretarial Studies, or related field.
  • Excellent communication, organizational, and time management skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Ability to work in a fast-paced environment and prioritize tasks effectively.
  • Strong attention to detail and ability to maintain accuracy.
  • Ability to develop and maintain effective relationships with stakeholders.
  • Experience working in a similar industry or sector.
  • Certification in secretarial studies or administration.
  • Familiarity with other software applications, such as Google Suite or Salesforce.
