Job Summary

  • An Administrative Assistant job description involves providing essential clerical and organizational support, handling tasks like managing schedules, answering phones, drafting correspondence, organizing files, coordinating meetings, and managing office supplies to ensure smooth daily operations for staff and executives, requiring strong communication, multitasking, and computer skills.
  • Administrative Assistants are the central hub for office communication, keeping teams productive and organized through a variety of clerical and organizational tasks managing complex schedules, handling sensitive information with discretion, and ensuring all administrative functions run efficiently.

Key Responsibilities

  • Scheduling & Coordination: Manage calendars, book appointments, arrange meetings, and coordinate travel.
  • Communication: Answer phones, respond to emails, greet visitors, and route messages.
  • Document Management: Prepare, edit, and proofread reports, memos and other documents;maintain filing systems.
  • Office Operations: Order supplies, manage inventory, handle incoming/outgoing mail, and maintain office equipment.
  • Support: Assist with data entry, basic bookkeeping, and provide general support to managers and staff.

Essential Skills & Qualifications

  • HND or BSc required.
  • Conversant with Microsoft Office
  • Excellent verbal and written communication.
  • Strong organizational and time-management abilities.
  • Proficiency with computers (spreadsheets, presentations, databases).
  • Problem-solving and decision-making.
  • Positive attitude and ability to work with others.
