- The Front Desk Officer serves as the first point of contact for visitors, clients, and stakeholders. The role is responsible for managing front office operations, welcoming guests, handling inquiries, and ensuring a professional and positive experience for everyone interacting with the organisation.
- The successful candidate must possess strong communication skills, excellent customer service abilities, and the capacity to maintain a calm and organised front office environment.
Key Responsibilities
Reception and Visitor Management:
- Welcome and attend to visitors professionally and courteously.
- Direct guests to the appropriate offices or personnel.
- Maintain visitor records and ensure proper sign-in procedures.
Communication and Inquiry Handling:
- Receive and manage incoming phone calls, emails, and inquiries.
- Provide accurate information about the organisation’s services and operations.
- Route messages and communications to the appropriate departments.
Appointment and Schedule Coordination:
- Assist in scheduling meetings and appointments.
- Maintain the front office calendar where necessary.
- Inform staff of visitor arrivals and scheduled meetings.
Administrative Support:
- Assist with basic administrative tasks such as filing, document preparation, and data entry.
- Support office staff with clerical duties when required.
- Ensure front desk materials and documents are properly organised.
Office Environment Management:
- Maintain a clean, organised, and welcoming reception area.
- Ensure front office supplies and materials are available when needed.
- Coordinate with administrative staff for logistical support when required.
Qualifications and Requirements
Education:
- Diploma or Bachelor’s Degree in Business Administration, Office Management, Communication, or a related field.
Experience:
- 5 - 15 years of experience in a front desk, receptionist, or customer service role is preferred.
Technical Skills:
- Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with telephone systems and office equipment.
