Job Title: Documentation & Logistics Officer
Location: Lagos
Key Responsibilities
- Plan and coordinate daily dispatch schedules based on production output.
- Arrange vehicles and transporters for timely delivery.
- Ensure proper loading supervision and dispatch verification.
- Monitor delivery timelines and resolve transport-related issues.
- Prepare and verify dispatch documents such as Delivery Challan, Invoice, E-way Bill, Gate Pass, and Packing List.
- Maintain batch traceability records for finished goods.
- Ensure compliance with local food safety and regulatory documentation requirements.
- Maintain transport agreements and records.
- Maintain finished goods inventory records.
- Coordinate with warehouse and production teams for stock reconciliation.
- Monitor pallet and packaging material movement.
- Conduct periodic stock audits and reporting.
- Ensure dispatch compliance with applicable regulatory standards (FSSAI / BIS / local authorities).
- Maintain documentation for audits and inspections.
- Prepare daily/weekly/monthly dispatch and logistics reports.
- Track freight costs and logistics performance metrics.
- Coordinate with Production, Quality, and Warehouse teams.
- Liaise with transporters and third-party logistics providers.
- Handle customer documentation queries related to shipments.
Requirements
Qualification:
- Bachelor’s Degree in Commerce / Business Administration / Supply Chain / Logistics or a Diploma in Logistics & Supply Chain Management.
Experience:
- 6 - 8 years of experience in logistics, dispatch, or documentation role in bottled water / beverage / FMCG industry.
- Experience in handling regulatory documentation and transport coordination.
Certifications:
- Certification in Supply Chain / Logistics Management
- ERP / SAP Training Certification.
Selection Criteria:
- Experience in handling high-volume dispatch operations.
- Should have proven experience in managing dispatch operations and coordinating with transporters in FMCG or beverage industry.
- Should demonstrate strong knowledge in preparation and verification of commercial and statutory documents such as invoices, delivery challans, E-way bills, and gate passes.
- Should possess practical experience in maintaining batch traceability and finished goods inventory reconciliation.
- Should have working knowledge of ERP systems and advanced MS Excel for reporting and stock management.
- Should demonstrate understanding of regulatory compliance applicable to packaged drinking water plants.
- Should have experience in freight cost monitoring and logistics performance tracking.
- Should be capable of managing multiple dispatch schedules while ensuring accuracy and timeliness.
- Should exhibit strong coordination skills between production, warehouse, sales, and transport teams.
- Should demonstrate high integrity, documentation accuracy, and audit readiness.
Functional Skills:
- Knowledge of logistics and supply chain operations in FMCG / bottled water industry.
- Experience in dispatch planning and transporter coordination.
- Understanding of regulatory documentation (Invoice, E-way Bill, Gate Pass).
- Knowledge of batch traceability and stock reconciliation.
- Proficiency in MS Excel, ERP systems, and inventory management software.
- Familiarity with warehouse operations and pallet management.
- Understanding of basic taxation and transport compliance requirements.
