Job Title: Admin / Front Desk Officer

Position Overview
- The Admin / Front Desk Officer (Laboratory) serves as the first point of contact for patients, clients, and visitors at Acouns Laboratory.
- The role is responsible for managing front desk operations, patient intake processes, appointment scheduling, and administrative coordination to ensure a smooth and professional client experience.
- The role supports laboratory operations by ensuring accurate data entry, proper documentation, effective communication between clients and laboratory personnel, and timely handling of inquiries and reports. It also ensures confidentiality of patient information, efficient workflow at the reception, and overall administrative efficiency within the laboratory environment.
Key Responsibilties
Front Desk & Patient Reception Management:
- Welcome and attend to patients and visitors in a professional and courteous manner
- Manage patient flow at the reception to avoid congestion and delays
- Handle incoming calls, inquiries, and appointment requests promptly
- Maintain a clean, organized, and professional front desk environment.
Patient Registration & Data Management:
- Accurately register patients and capture required biodata and test details
- Ensure correct entry of patient information into the system
- Verify test requests and ensure proper documentation before processing
- Maintain confidentiality and security of patient records.
Administrative Support & Laboratory Coordination:
- Coordinate with laboratory staff to ensure smooth sample processing workflow
- Track patient samples and ensure proper documentation from intake to result release
- Support report collation and notify clients when results are ready
- Assist with general administrative tasks within the laboratory.
Communication & Client Service:
- Provide clear information to patients regarding tests, procedures, and timelines
- Handle client inquiries, complaints, and escalations professionally
- Ensure effective communication between patients and laboratory personnel
- Maintain high standards of customer service at all times.
Records Management & Confidentiality:
- Maintain accurate filing systems for patient records (physical and electronic)
- Ensure proper documentation and easy retrieval of records
- Enforce strict confidentiality of patient data in line with regulations
- Update logs for daily patient visits and services rendered.
Billing Support & Payment Coordination:
- Generate invoices and receipts for laboratory services
- Ensure accurate billing based on test requests
- Confirm payments and maintain proper financial records at the front desk
- Liaise with finance for reconciliation when required.
Reporting & Administrative Accountability:
- Prepare daily reports on patient volume, revenue, and activities
- Maintain logs of appointments, walk-ins, and completed services
- Escalate operational issues affecting service delivery
- Ensure accountability for all front desk operations.
Qualifications & Experience
- Bachelor’s Degree or HND in any relevant field
- 1 - 2 years experience in front desk, admin, or healthcare support role
- Experience in a hospital or diagnostic laboratory is an added advantage
- Basic knowledge of patient handling and administrative processes.
