Job Title: Administrative Manager

About the Role

  • We are seeking a highly organized and proactive Admin Manager to oversee and coordinate all administrative operations within our fast-growing real estate firm.
  • The ideal candidate will ensure smooth daily office operations, proper facility management, structured documentation, and efficient administrative support across sales and operational teams.
  • This role is critical to maintaining operational excellence and supporting business growth.

Key Responsibilities

  • Oversee day-to-day administrative operations of the office.
  • Manage facility maintenance, pool cars, utilities, office supplies, and vendor relationships.
  • Supervise administrative staff and ensure service delivery standards are met.
  • Handle petty cash management and expense tracking.
  • Coordinate logistics for meetings, trainings, and company events.
  • Ensure proper documentation and filing systems (physical and digital).
  • Support management with operational reporting.
  • Implement administrative policies and process improvements.
  • Ensure smooth coordination between departments (HR, Sales, Finance).

Performance Expectations

  • 100% availability of office supplies and utilities.
  • 98% vendor payment and service coordination efficiency.
  • Zero major operational disruptions due to administrative lapses.
  • Accurate petty cash reconciliation monthly.
  • Timely resolution of facility-related issues (within 24–48 hours).

Requirements

  • Bachelor’s Degree in Business Administration or related fields
  • 4 - 6 years experience in an administrative leadership role (real estate experience is an advantage).
  • Strong organizational and coordination skills.
  • Experience supervising administrative staff.
  • Proficiency in Microsoft Office tools.
  • Strong vendor management and negotiation skills.
  • High level of integrity and accountability.
