Job Summary
- The Front Desk Assistant is responsible for maintaining the Jhpiego reception/front office including ensuring cleanliness, functioning phone system, maintaining telephone contact information, and ensuring prompt and timely assistance to all visitors.
- As the first contact for the organization’s visitors, the Front desk assistant is expected to be professional, courteous, prompt and pleasant.
- The Front desk assistant will also assist with other front office functions like sending/receiving couriers, ensuring mail is picked from the post office and other office support tasks as needed.
Responsibilities
- Provide support to Jhpiego staff and ensure efficient and prompt operation of the reception and front office.
- Receive and record bid submission documents.
- Manage the attendance and phone systems, ensuring all issues are promptly resolved in liaison with IT.
- Work with the Admin Officer on flight bookings and ticket authorization using the flight ticket register.
- Maintain a telephone log for all international and mobile calls and ensure compliance with Jhpiego phone policy.
- Ensure the reception area is clean and professionally managed while receiving and assisting visitors.
- Ensure all incoming mail and deliveries are accurately distributed in a timely manner.
- Ensure all outgoing mail (Abuja and international) is properly addressed, recorded, dispatched on time, and collected promptly by courier services.
- Manage guest cell phones for visiting staff from Baltimore and other international offices, including assigning contacts and ensuring return of devices and accessories before departure.
- Assist in setting up conference rooms and logistics for meetings and training, including arranging refreshments.
- Provide regular feedback to the Admin Manager on reception/front office operations.
- Ensure proper use of the vehicle requisition system in line with Jhpiego guidelines for optimal utilization.
- Monitor office deliveries (milk, newspapers, water) and verify invoices for payment.
- Track payment status and provide updates to vendors and supervisors.
- Maintain and update office supply inventory, ensuring timely replenishment.
- Replenish the First Aid box and ensure availability of required supplies at all times.
- Perform other duties as assigned.
Required Qualifications
- Minimum of HND or Bachelor’s degree in Administration or a related field.
- 1–2 years of relevant work experience in a similar role.
- Basic computer skills.
Knowledge, Skills & Abilities:
- Experience working in a busy office environment, preferably within the private sector or an international organization.
- Basic computer proficiency.
- Ability to operate and manage a PBX phone system.
