Job Title: Head Administrator (Hospital)

Job Summary

  • We are seeking a Head of Administration who is responsible for overseeing all administrative functions within the hospital to ensure efficient, compliant, and well-coordinated operations.
  • The role provides leadership in facility management, office administration, support services, and general operations, ensuring a safe, organized, and conducive environment for quality healthcare delivery.

Key Responsibilities

  • Lead and manage the hospital’s administrative team, including front desk, support staff, and office personnel.
  • Develop and implement administrative policies, procedures, and systems to improve efficiency.
  • Ensure smooth day-to-day administrative operations across all departments.
  • Provide strategic administrative support to senior management.
  • Oversee maintenance and functionality of hospital facilities, utilities, and equipment.
  • Ensure a clean, safe, and well-maintained environment in compliance with health and safety standards.
  • Manage relationships with service providers (cleaning, security, maintenance, waste disposal).
  • Coordinate space management and office allocation.
  • Oversee selection, contracting, and performance monitoring of vendors and service providers.
  • Ensure all service contracts are up-to-date and compliant with organizational policies.
  • Negotiate service agreements to ensure cost-effectiveness and quality service delivery.
  • Supervise administrative support services including transport coordination, office supplies, and utilities management.
  • Ensure availability and proper utilization of office equipment and resources.
  • Oversee travel arrangements, accommodation, and logistics for staff where required.
  • Ensure adherence to organizational policies, donor regulations, and local regulatory requirements.
  • Implement and monitor health, safety, and security protocols within the hospital.
  • Support internal and external audits by ensuring proper documentation and compliance.
  • Develop and manage the administrative budget.
  • Monitor expenses and implement cost-control measures.
  • Ensure efficient allocation and utilization of administrative resources.
  • Prepare administrative reports for senior management.
  • Coordinate with supply chain, HR, finance, and clinical teams to support hospital operations.
  • Drive continuous improvement initiatives in administrative processes.

Requirements

  • Bachelor’s Degree in Business Administration, Public Administration, Management, or a related field (Master’s Degree is an added advantage).
  • 5 - 8 years’ experience in administration, with at least 3 years in a supervisory or managerial role, preferably in a hospital or INGO setting.
  • Strong knowledge of facility management, vendor management, and administrative systems.
  • Experience working in regulated healthcare environments is highly desirable.
  • Good communication and interpersonal skills.
  • Professional appearance and attitude.
  • Basic knowledge of Microsoft Office (Word, Excel, Outlook).
  • Good organizational and multitasking abilities.
  • Ability to work with minimal supervision.
