Job Summary
- The Executive Assistant to the Managing Directors is responsible for providing high-level executive, strategic, and operational support to the Managing Directors to ensure efficient coordination of business activities and achievement of organizational goals. The role involves managing executive communications, supporting business development initiatives, coordinating strategic projects, preparing reports and presentations, and maintaining strong relationships with clients, partners, and stakeholders within the Oil & Gas, EPC, IOC/NOC, and related industries.
- The Executive Assistant will serve as a key liaison between executive management and internal/external stakeholders while ensuring confidentiality, professionalism, and operational excellence at all times.
Business Objective
- To support the Managing Directors in driving sustainable business growth, operational efficiency, strategic execution, and stakeholder engagement by providing proactive administrative, technical, and business support across diverse organizational functions.
Key Responsibilities
Executive & Administrative Support:
- Provide comprehensive executive support to the Managing Directors in daily business operations and strategic initiatives.
- Manage executive calendars, meetings, travel schedules, appointments, and correspondence.
- Prepare meeting agendas, minutes, presentations, reports, and executive summaries.
- Coordinate and follow up on action items arising from executive meetings and strategic sessions.
- Maintain confidentiality of sensitive company information and executive communications.
Strategic & Business Support:
- Assist in the development and implementation of business strategies, operational plans, and corporate initiatives.
- Interpret and analyze business data, trends, and performance metrics to support strategic decision-making.
- Prepare and submit business reports, proposals, and presentations on matters of importance to management.
- Support the evaluation of business opportunities, investments, partnerships, and expansion initiatives.
- Participate in strategic and operational governance processes across the organization.
Business Development & Client Relations:
- Collaborate with the Business Development team in preparing bids, tenders, proposals, and client presentations.
- Support negotiations and follow-up engagements with clients and stakeholders.
- Manage and maintain professional relationships with existing clients, including IOCs, NOCs, EPC companies, and other industry players.
- Assist in identifying new business opportunities and maintaining strong stakeholder networks.
Operational Coordination:
- Coordinate cross-functional activities between departments to ensure the smooth execution of company objectives.
- Monitor ongoing projects and provide status updates to executive management.
- Assess and communicate risks associated with business processes, investments, and operational activities.
- Support management in evaluating systems, processes, and initiatives aimed at improving organizational efficiency and innovation.
- Participate in the preparation of business case justifications and cost-benefit analyses for company initiatives and expenditures.
Additional Responsibilities
- Carry out other assignments and special projects as directed by management.
- Represent the executive office professionally during internal and external engagements where required.

Qualifications & Requirements
Educational Qualification:
- Bachelor’s Degree in Business Administration, Computer Science, Management, Economics, or any related discipline.
Experience:
- 3–5 years’ experience as an Executive Assistant, Executive Coordinator, Business Development Executive, or related role.
- Experience within the Oil & Gas, EPC, Engineering, Financial Services, or related sectors is a must.
