Job Purpose
- The Nuclear Medicine Administrator coordinates the administrative and operational activities of the Nuclear Medicine department at the African Medical Centre of Excellence (AMCE), ensuring efficient patient scheduling, documentation, and regulatory compliance.
- This role is central to managing patient appointments, processing referrals, maintaining accurate records, and liaising between clinicians, radiopharmacists, and patients.
- The role holder will oversee departmental workflows, support radiation safety documentation, and facilitate seamless communication across the nuclear medicine team.
- He/ She will work closely with nuclear medicine physicians, radiochemists, technologists, and hospital administration to ensure efficient service delivery, patient satisfaction, and compliance with regulatory requirements.
Key Accountabilities/Responsibilities
Patient Scheduling & Workflow Coordination
- Schedule, reschedule, and coordinate patient appointments for nuclear medicine procedures, including PET/CT, SPECT, bone scans, thyroid uptake studies, and cardiac stress tests.
- Prioritise urgent and emergency referrals in collaboration with nuclear medicine physicians and clinical teams.
- Manage patient flow within the department, ensuring timely preparation, imaging, and post-procedure care coordination.
- Confirm appointments with patients via telephone, email, or SMS, providing clear instructions regarding fasting, medication adjustments, and preparation protocols.
Referral Management & Documentation
- Process incoming referrals and requisitions from physicians, ensuring all required clinical information and consent forms are complete.
- Verify patient demographics, insurance details, and authorisation requirements before scheduling procedures.
- Maintain accurate and up-to-date patient records in the hospital's electronic medical record (EMR) and Radiology Information System (RIS).
- Prepare and distribute nuclear medicine reports to referring physicians promptly after physician review and authorisation.
Radiation Safety Documentation & Compliance Support:
- Assist the Nuclear Medicine Physician and Radiation Safety Officer in maintaining radiation safety documentation, including patient dose records, staff dosimetry reports, and area contamination logs.
- Ensure all patient consent forms for radiopharmaceutical administration are properly signed, filed, and retrievable.
- Support the department during regulatory inspections and accreditation audits by organising required administrative records and compliance documentation.
- Maintain secure filing systems for radioactive material inventory, waste disposal records, and transport documentation.
Billing, Inventory & Resource Management:
- Process billing for nuclear medicine procedures, including radiopharmaceutical charges, imaging services, and physician interpretations.
- Liaise with the finance and insurance teams to resolve billing discrepancies and authorisation issues.
- Monitor and order departmental supplies, including office stationery, patient preparation materials, and non-radiological consumables.
- Track and report on departmental key performance indicators (KPIs), including patient waiting times, appointment volumes, and cancellation rates.
Collaboration & Communication:
- Liaise with nuclear medicine technologists, radiochemists, nurses, and referring clinical departments to ensure seamless patient transitions and procedure readiness.
- Communicate effectively with patients and families, explaining procedural preparation, arrival times, and expected duration with empathy and cultural sensitivity.
- Serve as the primary point of contact for referring physicians, providing updates on appointment availability, report turnaround times, and procedure requirements.
- Participate in departmental meetings, quality improvement initiatives, and multidisciplinary team discussions as required.
Professional Development & Quality Improvement:
- Stay current with nuclear medicine administrative best practices, scheduling systems, and regulatory updates.
- Participate in continuing professional development (CPD) activities, training sessions, and workshops relevant to healthcare administration.
- Contribute to the continuous improvement of departmental administrative processes, including appointment templates, referral workflows, and patient communication.
- Support the onboarding and training of new administrative staff within the nuclear medicine department.
Requirements
Qualifications & Experience
- Bachelor's Degree in Health Administration, Business Administration, Health Information Management, or a related field from a recognised institution.
- Professional certification in healthcare administration or medical secretarial practice is desirable.
- Strong knowledge of healthcare administrative processes, patient scheduling systems, medical terminology, and nuclear medicine procedures is highly advantageous.
- Understanding of radiation safety documentation requirements, patient confidentiality laws and regulatory compliance standards.
- Must have 2-4 years of experience as a medical administrator, radiology scheduler, or in a similar role within a hospital, imaging centre, or nuclear medicine department.
- Proficiency in Electronic Medical Records (EMR), Radiology Information Systems (RIS), and Microsoft Office Suite (Word, Excel, Outlook), with excellent organisational, communication, and multitasking skills.
Must have skills:
- Strong knowledge of healthcare administrative processes, patient scheduling systems, medical terminology, and nuclear medicine procedures is highly advantageous.

- Understanding of radiation safety documentation requirements, patient confidentiality laws and regulatory compliance standards
