Petromech is a Kaduna-based company in Nigeria specializing in waste management, with a primary focus on producing base oils and engine oils from used lubricants. The company also operates a 2,500 m² workshop equipped to handle a wide range of mechanical maintenance, repair, and fabrication services.

Job Title: Administrative & Site Operations Officer
Location: Kaduna
Job Description
- We are looking for a responsible and well-organized Administrative & Site Operations Officer to support daily administrative activities at our site and company facilities.
- The successful candidate will be responsible for monitoring daily site activities, keeping attendance and visitor records, coordinating staff accommodation and travel arrangements, supporting leave tracking, and ensuring smooth administrative operations within the company.
- This role requires a proactive person who can move around the site, follow up on daily issues, communicate with employees, security personnel, drivers, accommodation staff, and management, and report matters properly.
Key Responsibilities
- Monitor daily administrative activities at the company site and facilities.
- Track employee attendance and prepare daily attendance records.
- Follow up on staff presence, late arrivals, absences, and daily manpower lists.
- Coordinate with security personnel and maintain proper security records.
- Maintain visitor logs and ensure all visitors are properly registered.
- Support the arrangement and monitoring of staff accommodation and company houses.
- Follow up on maintenance, cleaning, repairs, utilities, and general needs of staff houses.
- Coordinate travel and leave arrangements for employees, including transport, hotel reservations, airport pick-up/drop-off, and related logistics.
- Track employees going on leave and returning from leave.
- Assist management with daily administrative reports and updates.
- Support document filing, record keeping, and administrative correspondence.
- Coordinate with drivers, cleaners, security staff, suppliers, and service providers when required.
- Follow up on site needs such as office supplies, basic materials, welfare items, and facility-related requirements.
- Report any administrative, accommodation, security, or staff-related issues to management.
- Ensure company rules, site procedures, and reporting requirements are properly followed.
Required Qualifications & Experience
- 3–5 years of experience in administration, site coordination, facility support, logistics, or similar roles.
- Previous experience working in an industrial site, construction site, factory, workshop, oil & gas project, or manufacturing environment is preferred.
- Strong organizational and follow-up skills.
- Ability to monitor daily site matters and report clearly to management.
- Good communication and coordination skills.
- Ability to deal with employees, visitors, security personnel, drivers, suppliers, and service providers professionally.
- Good record-keeping and documentation skills.
- Ability to work independently and handle multiple tasks.
- Good knowledge of MS Office, especially Excel and Word.
- Must be responsible, disciplined, trustworthy, and proactive.
Preferred Skills:
- Experience in staff accommodation and facility coordination.
- Experience in travel, hotel, and transport arrangements.
- Ability to prepare simple daily, weekly, and monthly administrative reports.
- Good problem-solving skills and ability to handle urgent site issues.
- Familiarity with security, visitor control, and site attendance systems.
- Ability to work under pressure in a busy site environment.
