About the Role

  • We are seeking a highly organized, commercially aware, proactive, and execution-driven professional for the role of Executive Assistant – Sales & Marketing Operations.
  • This role provides strategic, operational, administrative, and coordination support to the Group EA in overseeing nationwide sales, marketing, trade operations, reporting structures, field execution, performance monitoring, and operational communication across the Company’s expanding FMCG network.
  • The ideal candidate must possess strong organizational capability, operational coordination skills, commercial awareness, reporting discipline, and the ability to function effectively within a fast-paced, high-performance sales and marketing environment.
  • This is a highly sensitive and demanding operational coordination role requiring discretion, responsiveness, accountability, structure, and excellent follow-through capabilities.

Job Summary

  • The Assistant EA – Sales & Marketing Operations will support the coordination and monitoring of sales operations, field reporting, marketing execution, trade activities, business communication, operational documentation, and performance tracking across multiple regions and sales structures within the Company.
  • The role involves close interaction with Traditional Trade teams, Modern Trade operations, Territory Sales Directors (TSDs), Key Account Executives, Trade Marketing personnel, distributors, retail channels, and support teams to ensure operational alignment, reporting accuracy, communication efficiency, and timely execution of commercial objectives.
  • The role may occasionally require official travel and direct involvement in operational meetings, activations, reviews, and strategic coordination initiatives.

Core Responsibilities
Executive & Operational Coordination:

  • Provide day-to-day operational and administrative support to the Group EA on sales and marketing activities.
  • Coordinate internal communication between field sales teams, trade teams, marketing personnel, and Management.
  • Track execution of directives, action points, operational assignments, and sales initiatives across locations.
  • Support scheduling, coordination, and documentation of sales and operational meetings.
  • Assist in monitoring performance deliverables across departments and field structures.

Sales Operations Support:

  • Monitor daily sales reports, field updates, stock movement reports, and territory performance submissions.
  • Support coordination of nationwide sales activities involving TSDs, Sales Representatives, Key Account Executives, and Trade teams.
  • Follow up on pending operational issues, distributor concerns, route execution gaps, and market feedback.
  • Support implementation and monitoring of sales operational structures and reporting systems.
  • Assist in tracking target achievement, sales performance trends, and operational execution compliance.

Marketing & Trade Coordination:

  • Support coordination of trade marketing campaigns, activations, promotional activities, and visibility initiatives.
  • Assist with planning and execution tracking for market activations and regional campaigns.
  • Coordinate communication and logistics support for sales and marketing initiatives.
  • Monitor visibility materials, campaign deployment, and execution timelines across locations.
  • Support the organization of strategic market engagement and business development activities.

Reporting & Data Management:

  • Prepare operational summaries, sales reports, meeting minutes, dashboards, and executive updates.
  • Maintain organized records of operational reports, field communication, trade activities, and performance documentation.
  • Assist with collation and analysis of sales, stock, and operational performance data.
  • Ensure timely submission and proper filing of reports from field and operational teams.
  • Support development of structured reporting templates and operational trackers.

Communication & Stakeholder Engagement:

  • Maintain professional communication with internal and external stakeholders.
  • Support coordination between Management, sales teams, distributors, retail partners, and operational personnel.
  • Ensure proper escalation and follow-up on operational concerns requiring Management attention.
  • Draft operational correspondence, memos, presentations, and internal communication where required.

Process Monitoring & Compliance:

  • Support adherence to operational procedures, reporting timelines, and execution standards.
  • Monitor compliance with communication structures and operational reporting expectations.
  • Identify coordination gaps and recommend process improvement initiatives.
  • Support operational accountability and documentation processes within the sales and marketing structure.

Requirements
Educational Qualification and Experience:

  • Bachelor’s Degree or HND in Business Administration, Marketing, Management, Economics, Mass Communication, or related discipline.
  • Relevant certifications in administration, operations, or project coordination are an added advantage.+
  • 5– 7years relevant experience in Executive Support, Sales Operations Coordination, Commercial Operations, or Administrative Support within an FMCG or fast-paced operational environment.
  • Experience supporting multi-location operations and field teams is an added advantage.

Salary
N650,000 - N800,000 / Month.
