We are recruiting to fill the position below:
Job Title: Executive Assistant to the Director
Location: Mainland, Lagos
Employment Type: Full-time
Responsibilities
Calendar Management:
- Coordinate and manage the Director's calendar, ensuring timely scheduling of meetings, appointments, and events.
- Make travel arrangements, including booking flights, hotels, and rental cars.
- Prepare and distribute meeting materials, agendas, and minutes.
Communication:
- Handle incoming and outgoing correspondence, including emails, letters, and faxes.
- Prepare and send communications on behalf of the Director, including reports, presentations, and other materials.
- Liaise with internal stakeholders, external partners, and vendors to resolve issues and provide information.
Administrative Support:
- Manage the Director's expense reports, travel documentation, and other administrative tasks.
- Maintain accurate and up-to-date records, including databases and filing systems.
- Provide support for special projects, including data collection, research, and analysis.
Problem-Solving and Initiative:
- Anticipate and resolve problems, escalating complex issues to the Director as needed.
- Take initiative to identify areas for improvement and implement process enhancements.
- Develop and maintain relationships with key stakeholders to support the Director's work.
Discretion and Confidentiality:
- Handle sensitive and confidential information with discretion and professionalism.
- Maintain confidentiality of organizational matters, including personnel issues and business strategies.
Requirements
- Education: - Bachelor's degree or equivalent experience.
- Others: - Experience working in a similar industry or with a senior executive team.
- Experience: 1- 3 years of experience as an Executive Assistant or similar role.
Key Competency:
Knowledge:
- Proficiency in Microsoft Office, Microsoft Excel, PowerPoint, Google Suite, or similar productivity software.
- Discretion and confidentiality in handling sensitive information. Skill/Competencies:
- Strong problem-solving and analytical skills.
