We are recruiting to fill the position below:

Job Title: Administrative Executive - Male

Location: Lagos
Employment Type: Full-time

Role Summary

  • The Facility Administrative Executive will provide administrative and operational support to the Operations Manager while serving as a key liaison between tenants, vendors, contractors, service providers, and management.
  • The role requires exceptional organizational skills, responsiveness, professionalism, and the ability to manage multiple priorities within a fast-paced commercial environment.

Key Responsibilities
Administrative Support:

  • Provide direct administrative support to the Operations Manager.
  • Maintain operational records, reports, logs, and documentation.
  • Draft correspondence, notices, reports, and meeting minutes.
  • Manage filing systems and ensure proper record retention.

Tenant Administration:

  • Coordinate communication between tenants and facility management.
  • Track and follow up on tenant requests, complaints, and service issues.
  • Maintain tenant records and contact databases.
  • Assist with tenant onboarding and compliance documentation.

Vendor & Contractor Coordination:

  • Coordinate vendor appointments and contractor visits.
  • Maintain vendor records and service schedules.
  • Monitor submission of required documentation and compliance records.
  • Support contract administration processes.

Facility Operations Support:

  • Assist in coordinating maintenance activities and inspections.
  • Track work orders and service requests.
  • Monitor completion of assigned operational tasks.
  • Support incident reporting and issue resolution processes.

Reporting & Documentation:

  • Prepare daily, weekly, and monthly operational reports.
  • Maintain accurate records of facility activities.
  • Compile data for management reviews and presentations.
  • Track operational KPIs and service delivery metrics.

Procurement & Inventory Support:

  • Track office and facility consumables.
  • Coordinate purchase requests and approvals.
  • Maintain inventory records.
  • Support asset management activities.

Stakeholder Engagement:

  • Receive visitors, tenants, contractors, and service providers professionally.
  • Coordinate meetings and appointments.
  • Support communication between various stakeholders.

Requirements
Education:

  • Bachelor’s Degree or HND in Business Administration, Public Administration, Estate Management, Office Management, Facility Management, or related disciplines.

Experience:

  • Minimum of 5 years relevant administrative experience.
  • Experience within facility management, property management, commercial real estate, retail operations, hospitality, or similar environments will be an added advantage.

Competencies:

  • Strong administrative and organizational skills.
  • Excellent written andverbal communication.
  • Strong documentation and record management skills.
  • Ability to multitask effectively.
  • High attention to detail and accuracy.
  • Strong interpersonal and stakeholder management skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Ability to prepare reports and maintain databases.
  • Strong follow-up and coordination abilities.

Remuneration & Benefits

  • N250,000 Gross Monthly.
