Job Title: Operations / Admin Assistant

Responsibilities
Operational Support:
- Manage the Operations Lead's calendar, schedule meetings, and coordinate cross-functional appointments
- Prepare operational reports, presentations, and briefing materials for leadership review
- Track project timelines, action items, and follow-ups across departments to ensure on-time delivery
- Liaise with internal teams (clinical, tech, finance) to facilitate smooth information flow
- Draft internal communications, memos, and process documentation on behalf of the Operations Lead
- Coordinate vendor communications, procurement requests, and logistics as required
- Maintain operational databases, filing systems, and shared digital workspaces
Social Media & Digital Engagement:
- Monitor the company's social media channels (Instagram, X/Twitter, LinkedIn, Facebook) for mentions, comments, and direct messages on a daily basis
- Track media and communications consultants performance in line with agreed KPIS and compile weekly performance reports
- Flag urgent or sensitive patient-related social media interactions to the appropriate team for timely response
- Support the creation and scheduling of social media content in alignment with approved brand messaging and healthcare compliance guidelines
- Identify engagement trends, audience sentiment, and competitor activity to inform the digital communications strategy
- Coordinate with the marketing team to ensure consistent brand voice and respond to community inquiries professionally
- Maintain a social media tracker log to document recurring issues, FAQs, and brand sentiment over time
- Supporting the media and health services unit with content creation tasks
Human Resources Support:
- Support onboarding of new hires, including preparation of onboarding documents, equipment requests, and first-week schedules
- Maintain and update employee records, contracts, and HR files in compliance with data protection standards
- Track employee leave requests, attendance, and contract renewal timelines
- Help plan and coordinate staff engagement activities, wellness initiatives, and team events
