Job Summary
As a Administrative Officer, your responsibilities will include but are not limited to:
- Ensuring the efficient functioning of our daily operations.
- You will be responsible for providing administrative support to various departments and senior management, enabling them to focus on strategic tasks.
- Your attention to detail, organizational skills, and ability to adapt to a dynamic and fast-paced work environment will be crucial to your success in this role.
Responsibilities
- Manage and maintain office supplies and equipment, including ordering and restocking as needed.
- Coordinate and schedule appointments, meetings, and conferences.
- Screen and direct phone calls and emails, as well as handle routine inquiries.
- Manage office supplies and inventory, ensuring adequate stock levels.
- Handle incoming and outgoing mail and packages.
- Scheduling and Calendar Management:
- Coordinate and schedule meetings, appointments, and conference calls for executives and team members.
- Ensure efficient use of time and resources by optimizing schedules.
Communication Handling:
- Answer and direct incoming calls, emails, and inquiries.
- Draft, edit, and proofread correspondence, reports, and other documents.
- Maintain a professional and welcoming atmosphere for visitors and clients.
- Organize and maintain physical and electronic files, documents, and records.
- Perform data entry and database management tasks accurately.
Travel Arrangements (With Directive from the HR):
- Arrange travel itineraries, accommodations, and transportation for employees and executives.
- Monitor travel expenses and ensure adherence to company policies.
- Meeting and Event Coordination:
- Coordinate meetings, conferences, and events, including room setup and catering.
- Prepare meeting materials, agendas, and minutes as needed.
Assistance to Management:
- Provide administrative support to executives and managers, including preparing reports and presentations.
- Assist with project-related tasks and follow-ups with directive from the HR.
Document Control:
- Maintain document version control and ensure the availability of up-to-date documents.
Skills Required
- Academic qualification in administrative management or related field
- Certifications in Office tools
- Proof of experience in relevant roles.
Reporting Process:
- Direct communication with Department Leads with dotted lines to the Manager and collaborative partnership with the Human Resource and Operations Manager.
- The Human Resource Manager is your direct line manager.
