Job Title: Logistics Operation Coordinator

Job Summary
- The Logistics Operations Coordinator is responsible for onboarding transport companies, managing transport projects in the field, and ensuring efficient tracking and return of containers. The role includes retrieving container cards, escalating delays, and escalation to the Operations/Finance teams upon confirmation of returns.
Key Responsibilities
Container Tracking & Returns
- Track return status of containers and ensure timely retrieval of container cards.
- Escalate delays or issues in container returns to relevant stakeholders.
- Maintain accurate records of container movements and returns.
Field Transport Project Management:
- Supervise and manage transport projects on the field, ensuring timely and efficient delivery.
- Monitor transport service providers and take corrective actions as needed.
- Coordinate with internal teams and clients to resolve operational issues.
Transport Company Onboarding:
- Identify, evaluate, and onboard transport companies that would accept payments post-delivery
- Ensure all transporter contracts, service agreements, and compliance requirements are properly documented.
Clearing Agent Oversight:
- Track TDO preparation and file progress with agents.
- Collaborate with agents to ensure timely gate-out and delivery completion.
Haulage Operations Monitoring:
- Confirm and align with agents for haulage job execution.
- Ensure fast and efficient loading operations and document all activities.
Port Operations Support:
- To assist and support port operations, in conjunction with the port clearing teams to align management and client delivery objectives.
Documentation:
- Escalate to the Operations/Finance teams upon confirmation of container returns for invoicing of clients.
- Ensure all related documentation is accurate, complete, and submitted on time.
- Collaborate with Finance and Operations teams to resolve discrepancies.
Reporting:
- Provide daily, weekly, and ad-hoc reports on transport projects, container returns, and onboarding status.
- Escalate operational risks, delays, or non-compliance promptly to senior management.
Payments & Collections:
- Monitor agent’s and escort’s balances; escalate and follow up as needed.
- Ensure all collections are recorded and documented for transparency.
Key Performance Indicators (KPIs)
- Transport Onboarding Completion: 100% of identified transport companies onboarded on schedule.
- Container Return Timeliness: ≥ 95% of containers returned as scheduled.
- Container Card Retrieval Rate: 100% retrieval for all returned shipments.
- Operational Escalation Efficiency: 100% of delays/issues escalated promptly.
- Project Delivery Success Rate: ≥ 95% of field transport projects completed without major operational issues.
Qualifications & Requirements
Education:
- Bachelor's Degree or HND in Logistics, Supply Chain Management, Business Administration, Transportation Management, Maritime Studies, or a related field.
- Relevant professional certifications in Logistics, Supply Chain, or Project Management will be an added advantage.
Experience
- Minimum of 3–5years' experience in logistics operations, haulage coordination, freight forwarding, clearing and forwarding, transportation management, or a related role.
- Experience coordinating containerized cargo movements, port operations, and transporter management.
- Proven experience working with clearing agents, transport companies, and operational stakeholders.
- Experience monitoring transport projects and resolving field operational challenges.
Technical Competencies:
- Strong understanding of container tracking, container return processes, and container card retrieval.
- Knowledge of port operations, customs clearing processes, TDO management, and haulage operations.
- Ability to onboard and manage third-party transport service providers.
- Strong documentation and record-keeping skills.
- Proficiency in Microsoft Excel, Google Sheets, and reporting tools.
- Ability to prepare and interpret operational reports and performance metrics.
