Job Summary

• The Operations Manager serves as the "Digital and Structural Nervous System" for the Hearts Heartist group. This role is responsible for overseeing the daily functioning of all subsidiaries including the Wellness Studio, Academy, Foundation, Creative Center, and ÌMÍ Festival under a "Shared Services" model.
• The ideal candidate will act as the bridge between creative vision and operational reality, ensuring that systems, processes, and people are aligned to support sustainable growth and scale.

Key Responsibilities

• Lead migration from manual bookings (WhatsApp/Instagram) to a structured CRM system.
• Enforce SOP compliance across all operational teams.
• Optimize workflows by identifying and removing operational bottlenecks.
• Oversee shared services (Finance, HR, Admin, Legal) for efficient support across units.
• Manage resource allocation for expert communities and volunteer project teams.
• Drive end-to-end project execution within scope, time, and budget.
• Maintain dashboards and weekly reports for performance tracking and accountability.
• Oversee budgeting, vendor management, and financial reporting.
• Ensure consistent service quality across all customer-facing operations (wellness, creative centre etc).
• Manage stakeholder relationships and resolve operational issues proactively

Requirements & Qualifications

• Bachelor's degree in Business Administration, Operations Management, Finance or related field.
• 3–5 years experience in Operations Management or a similar leadership role.
• Strong leadership and problem-solving skills.
• Experience with project management, CRM tools, booking systemsand workflow systems.
• Excellent organizational and communication skills.
• Strong foundation in financial management, budgeting, and reporting principles.
• Ability to navigate the unique 'creative operational style' while maintaining systematic discipline.
