Job Title: Executive Assistant

Job Summary
- The Executive Assistant serves as a critical coordination link between the founders and the daily operations of the Hearts Heartist group.
- You will function as a "cross-board" professional, providing high-level administrative support while simultaneously managing backend operations across our diverse subsidiaries including the Wellness Studio, Academy, Foundation, and the ÌMÍ Festival.
- This role is designed to ensure stability and continuity, allowing the founders to maintain their focus on creative leadership and strategic growth.
Key Responsibilities
- Manage complex scheduling for the founders, ensuring personal availability is perfectly aligned with the demanding production timelines of the Studio and Festival.
- Serve as the primary point of contact for internal and external stakeholders. Draft professional correspondence, prepare meeting agendas, record accurate minutes, and track follow up action items.
- Maintain confidential files, records, and documentation, ensuring all sensitive organizational data is organized and secure.
- Act as the centralized communications manager. Handle initial inquiries for all arms of the organization (wellness clients, academy students, and foundation partners) to ensure no inquiry "falls through the cracks."
- Support the Operations Manager in enforcing the "Hearts Heartist Way".
- Organize and prepare documentation for funding opportunities, grant applications, and investment pitch decks. Maintain preliminary financial records.
- Coordinate logistics for large-scale initiatives like the ÌMÍ Festival. This includes managing volunteer teams, tracking deliverables, and following up on tasks assigned by the Founder/CEO.
- Use project management tools (e.g., Notion, Google Sheets) to track ongoing projects, ensuring milestones are met on time and within budget.
Qualifications
- Bachelor's Degree in Business Administration or related field.
- 2–5 years experience as an Executive Assistant or Administrative Professional.
- Excellent communication and organizational skills.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Strong attention to detail and confidentiality.
- Proficiency in creative practices (e.g., poetry, dance or visual arts)
What we're looking for:
- Proven ability to pivot between the administrative needs of a wellness studio and the high-pressure project management needs of a creative festival.
- Fluency in Google Workspace, project tracking tools (Notion), and CRM systems.
- Deep understanding of the brand's mission to "touch one heart at a time" and the ability to embody that culture in all interactions.
- You possess a personal creative practice (e.g., poetry, dance, visual arts, or music).
