Duration of contract: 6 Months (Renewable).
Grade Level: Grade 5 in NRC's grading structure.
Reporting line: HR & Administration Team Leader
Travel: 20%
Job Description
- We are looking for people who are passionate about helping refugees and people forced to flee.
- If you are those people, the Norwegian Refugee Council in Nigeria is looking for an enthusiastic and passionate HR and Administration Officer to join our team in Yola, Adamawa State. You will be responsible for the daily implementation of Human Resources activities at the Area/Field office respectively.
Specific Responsibilities
Recruitment and Administration:
- Support recruitment processes (posting, CV collection, screening, longlisting, organizing written tests and interviews).
- Assist in the onboarding process of new employees, including tracking induction programs with various NRC departments.
- Draft contracts for new staff members.
- Compile personnel files for new hires, ensuring all necessary documents are available and complete as per NRC’s checklist.
- Ensure new employees and their supervisors sign job descriptions, with a copy filed in the employee's folder.
- Support in payroll preparation by inputting the staff for step progression.
- Track staff movements (annual leave, special leave Etc).
- Maintain and update staff files continuously at the Area Office.
- Ensure staff sign their pay slips at the end of each month.
- Ensure that all HR files are compliant, and that each employee’s file is up to date.
- Review personnel files to identify gaps, initiate corrective actions, and update the verification checklist.
- Update and track timesheets for national staff at Area office.
- Ensure hard and electronic filing of staff lifecycle documents (from hiring to departure) is properly managed.
- Provide information to staff, supervisors and staff on human resource and work-related issues.
- Supervision of cleaners and causal workers.
- Prepare hotel booking/guess house for staff on official visit.
- Management of office/guess house maintenance (routine services of AC, electrical repairs, plumbing repairs etc)
- Management of administrative store and restocking of items. Keeping track and record.
- Inventory and asset management of both office/guess house items.
- Perform other tasks assigned by the direct supervisor.
- Participate in due diligence visits with the partnership unit and support teams to assess core HR standards, including job descriptions, recruitment, code of conduct, terms of employment, salary structure to ensure alignment with NRC standards and donors’ requirements upon request.
- Participate in partners’ onboarding and communicate key HR requirements.
- Collaborate with the Partnerships Unit to assess partner HR capacity and identify training needs.
Partnership Engagement:
- Participate in due diligence visits with the partnership unit and support teams to assess core HR standards, including job descriptions, recruitment, code of conduct, terms of employment, salary structure to ensure alignment with NRC standards and donors’ requirements upon request.
- Participate in partners’ onboarding and communicate key HR requirements.
- Collaborate with the Partnerships Unit to assess partner HR capacity and identify training needs.
Qualifications
- University Degree
- Professional experience in HR management, administration, or finance
- Previous experience in complex and unstable contexts
- At least two years of experience in a similar position
- Experience as a trainer
- Strong command of Excel/Word software
