We are recruiting to fill the position below:

Job Title: Documentation Officer

Location: Aseese, Ogun
Employment Type: Full-time

Key Responsibilities

  • Certification Documentation: Prepare and manage documents required for Transaction Certificate applications, maintain traceability records, verify document accuracy, and control document versions.
  • Audit Support: Organize audit files, maintain audit records, provide documentation during audits, and support corrective action implementation.
  • Document Coordination: Work with departments to collect and retrieve records needed for audits, inspections, and certification assessments.
  • Centralized Document Control: Manage filing, archiving, retrieval, retention schedules, and document security for all certification records.
  • MIS Reporting & Data Management: Maintain certification databases, update ICS records, generate reports, ensure data accuracy, and support management reporting.
  • Confidentiality & Security: Protect sensitive company, farmer, supplier, and certification information through secure storage and controlled access.
  • Compliance & Continuous Improvement: Ensure adherence to certification requirements, identify documentation gaps, support digitization initiatives, and improve document control processes.

Technical Skills:

  • Strong proficiency in Microsoft Office, especially advanced Excel.
  • Experience with document management systems, databases, cloud storage, electronic filing, PDF management, and MIS reporting.
  • Knowledge of ERP, certification, traceability, or compliance systems is beneficial.

Reporting Line:

  • Reports directly to the Certification Manager.

Qualifications

  • Bachelor's Degree or Diploma in Agriculture, Science, or Computer Science.
  • Minimum 2 years' experience in documentation, records management, compliance, certification support, or administration.
  • Experience in Organic or FMCG industries, audits, certification programs, or traceability systems is an advantage.

Salary
N200,000 - N250,000 Monthly.
