OVerview of Job
- The Workshop Manager is responsible for overseeing the daily operations of the workshop, ensuring the efficient maintenance, repair, and servicing of company and client vehicles.
- The role involves managing a team of technicians, ensuring adherence to safety and quality standards, optimizing turnaround time, and maintaining cost efficiency.
- The Workshop Manager plays a key role in ensuring fleet reliability and uptime in line with KK Leasing’s service excellence and operational standards.
Roles and Responsibilities
Workshop Operations Management:
- Plan, coordinate, and supervise all workshop activities, including vehicle diagnostics, repairs, and preventive maintenance.
- Ensure timely turnaround of vehicles to minimize downtime and maintain Service Level Agreements (SLAs).
- Establish, implement, and enforce Standard Operating Procedures (SOPs) for all workshop operations.
- Oversee workshop setup and equipping, ensuring adequate tools, workspace organization, and compliance with technical standards.
- Manage towing, rescue, and vehicle recovery operations as required to support fleet operations.
- Monitor workshop tools, equipment, and infrastructure to ensure proper usage, calibration, and maintenance.
Technical Competence, Projects & Development:
- Evaluate the technical competence of workshop staff and the overall workshop capacity to meet operational standards.
- Identify training and development needs, organize workshops, and ensure continuous skill enhancement of technicians and mechanics.
- Oversee technical projects such as vehicle overhauling, refurbishments, and modification works.
- Support research and development on green mobility technologies (EVs, hybrids, and alternative fuels) and assess technical requirements for adoption.
- Participate in asset disposal and acquisition processes, providing technical insights to guide cost-effective decisions.
Maintenance Planning & Quality Control:
- Develop and oversee preventive and predictive maintenance schedules for all company-owned and leased vehicles.
- Conduct routine inspections to ensure maintenance standards, repair quality, and compliance with manufacturer guidelines.
- Implement workshop efficiency initiatives — return job policy, warranty management, and cost reduction strategies.
- Ensure proper documentation of maintenance activities, parts replacements, and complete service history for each vehicle.
Cost & Resource Management:
- Monitor and control workshop expenses to ensure cost efficiency and budget adherence.
- Manage cost-saving initiatives such as reuse, reconditioning, scrap management, and negotiation with vendors.
- Review and approve requisitions within budget limits while maintaining operational effectiveness.
- Oversee vendor, supplier, and external workshop sourcing, evaluation, and onboarding processes.
- Supervise customer invoicing, man-hour billing, and productivity tracking to ensure accurate cost recovery and accountability.
Inventory & Asset Management
- Track spare parts usage and manage inventory to maintain optimal stock levels and lead times.
- Conduct regular stock counts, reconciliations, and scrap analysis to ensure inventory accuracy.
- Establish reorder levels and maintain adequate lead-time analysis to prevent stockouts or overstocking.
- Ensure proper documentation and accountability for all spare parts, consumables, and tools.
Safety, Health, Environment & Quality (HSEQ):
- Serve as the HSEQ Champion for the workshop, ensuring full compliance with company and regulatory safety standards.
- Implement Permit to Work, Job Hazard Analysis, and Work Order Management procedures.
- Conduct regular safety briefings, enforce the use of Personal Protective Equipment (PPE), and promote a safety-first culture.
- Ensure all vehicles and operations meet statutory, environmental, and technical compliance before deployment.
Leadership, Workforce Planning & Culture:
- Supervise, mentor, and provide technical guidance to workshop personnel and support staff.
- Conduct regular performance reviews, identify training needs, and recommend capacity-building interventions.
- Drive effective workforce planning and ensure business continuity through 24-hour operational support strategies.
- Foster a culture of teamwork, accountability, innovation, and continuous improvement.
- Play an active role in onboarding and induction of new technical employees.
Reporting & Continuous Improvement:
- Prepare and submit weekly and monthly reports on workshop activities, maintenance costs, vehicle availability, and productivity.
- Analyze operational data to identify recurring issues, root causes, and opportunities for improvement.
- Champion continuous improvement initiatives to enhance service quality, operational efficiency, and cost performance.
- Develop KPIs and dashboards to track workshop productivity, staff efficiency, and vehicle performance trends.
Key Requirements
- Education: Bachelor’s Degree or HND in Mechanical Engineering, Automotive Technology, or a related field.
- Work Experience: Minimum of 5–8 years relevant experience in vehicle maintenance or fleet workshop management, preferably within the leasing, logistics, or transportation sector.
Other Requirements:
- Proven experience in managing technical teams and workshop operations.
- Strong knowledge of diagnostics, repair standards, and maintenance best practices for vehicles.
- Proficiency in MS Office and maintenance management software (e.g., Fleetio, AutoFluent, or equivalent).
