We are recruiting to fill the position below:

Job Title: Document Control Specialist

Location: Victoria Island, Lagos
Employment Type: Full-time

Job Summary

  • Responsible for overseeing the creation, organization, storage, retrieval, and security of company documents, ensuring compliance with regulatory standards and internal policies.
  • The role involves implementing efficient document management systems, maintaining version control, and facilitating seamless access to critical records while safeguarding confidentiality and data integrity.

Job Details

  • Design, implement, and manage Group document repositories (including SharePoint), ensuring structured storage, version control, and controlled access.
  • Maintain consistent document classification, metadata tagging, naming conventions, and versioning across Group and subsidiary documents.
  • Coordinate document circulation for review, collaboration, approval, and controlled release.
  • Serve as the primary point of contact for document control queries and workflow issues across the Group.
  • Provide training and ongoing guidance to Group and subsidiary teams on document management best practices.
  • Promote consistency, discipline, and accountability in document handling across the organization.
  • Ensure document management practices comply with applicable regulatory, legal, and ISO standards (e.g., ISO 9001, ISO 27001).
  • Implement and enforce document security controls, including permissions, access rights, and confidentiality protocols.
  • Conduct periodic document audits to ensure compliance, accuracy, and data integrity.
  • Support subsidiaries in maintaining compliant documentation aligned with Group governance standards.
  • Develop, implement, and enforce Group document control, retention, and disposal policies.
  • Automate document retention and destruction processes in line with approved schedules.
  • Continuously optimize document workflows, templates, and systems based on business needs and user feedback.
  • Collaborate with IT and cross-functional teams to integrate document management systems with Microsoft 365, Teams, and other enterprise tools.

Requirements

  • Education Qualification: Bachelor’s Degree in Library Science, Records Management, Information Management, Business Administration, Computer Science, or a related field.
  • Professional Qualification: Membership of a related professional body e.g. ISO 9001, Lead Auditor, CIRMN etc.
  • Experience: 5-8 years of experience in document management, records management, or related fields in the oil & gas industry.
