Job Summary

  • A secretary is a key administrative professional responsible for managing communication, organizing schedules, maintaining records, and supporting smooth office operations, requiring strong organizational, communication, and technical skills.

Core Duties of a Secretary

  • Communication Management: Secretaries handle incoming and outgoing correspondence, answer and direct phone calls, take messages, and serve as the first point of contact for clients, partners, and internal teams, ensuring professionalism and responsiveness
  • Scheduling and Calendar Management: They maintain diaries, arrange appointments, and coordinate meetings to prevent conflicts and optimize productivity for executives and teams
  • Documentation and Reporting: Secretaries prepare, type, and collate reports, letters, proposals, and other professional documents, ensuring accuracy, proper formatting, and timely delivery
  • Record Keeping and Filing: Organizing both physical and digital records is essential. Secretaries maintain secure, well-structured filing systems for quick access and compliance with information governance policies
  • Meeting Coordination: They organize and service meetings, prepare agendas, set up meeting rooms, and record minutes to ensure clear follow-up and accountability
  • Administrative Support: Secretaries assist with project coordination, budgeting, and executive support tasks, often acting as proactive problem-solvers and internal communications experts
  • Client and Visitor Assistance: Greeting and assisting clients, managing inquiries, and providing a professional point of contact for visitors is a key responsibility.
