Job Title: Documentation Officer

Job Summary

  • We are seeking a highly organized and detail-oriented Documentation Officer to support our Sustainability and Certification Department.
  • The successful candidate will be responsible for maintaining, organizing, monitoring, and updating all documentation related to sustainability initiatives, certification programs, compliance requirements, audits, and regulatory reporting.
  • The role requires strong analytical skills, excellent document management capabilities, and proficiency in data analysis and reporting tools.

Key Responsibilities

  • Maintain, organize, and manage all sustainability and certification-related documentation, records, and databases.
  • Ensure that all documents comply with internal policies, regulatory requirements, and certification standards.
  • Support the preparation, coordination, and management of sustainability audits, inspections, and certification assessments.
  • Maintain accurate records of sustainability programs, certifications, compliance activities, and corrective action plans.
  • Prepare periodic reports, dashboards, and presentations related to sustainability performance and certification status.
  • Collect, analyze, and validate data required for sustainability reporting and certification processes.
  • Develop and maintain document control systems to ensure proper filing, retrieval, and version control of records.
  • Coordinate with internal departments and external stakeholders on documentation requirements and compliance matters.
  • Monitor certification renewal schedules and ensure timely submission of required documentation.
  • Support the implementation and continuous improvement of sustainability management systems and documentation processes.
  • Generate reports and business intelligence dashboards using Microsoft Excel and Power BI.
  • Assist in preparing management reports and presentations for internal and external stakeholders.
  • Ensure confidentiality, accuracy, and integrity of all documentation and records.

Requirements and Qualifications

  • Bachelor's Degree in Environmental Science, Sustainability Management, Business Administration, Engineering, Statistics, or a related field.
  • 3–5 years of relevant experience in documentation management, sustainability, compliance, or certification administration.
  • Experience working with sustainability standards, certification processes, and compliance documentation will be an added advantage.
  • Strong proficiency in Microsoft Excel, including advanced functions, data analysis, and reporting.
  • Proficiency in Microsoft Power BI for dashboard development, data visualization, and reporting.
  • Experience with document management systems and database administration.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks, maintain accuracy, and meet deadlines.
  • High level of integrity, attention to detail, and professionalism.

Preferred Certifications
The following certifications will be considered an added advantage:

  • ISO Management Systems awareness or implementation training
  • Sustainability or ESG-related certifications
  • Document Control or Records Management certification.

Salary
N200,000 per month.
